Job Description


Job Brief:

This position requires tending and ensuring the buildings and grounds of the property are maintained and well-kept. Excellent customer service skills are a must, as you will frequently interact with tenants, employees, contractors, and service staff.

Job Responsibilities:

  • Provide full support to the Manager in overseeing property management and customer relations.
  • Collaborate closely with the Manager to ensure efficient and effective operations across all projects.
  • Assist in coordinating activities related to VP, including inspections, handovers, and customer communications.
  • Manage the processing of invoices related to property management and customer relations.
  • Verify accuracy, track payment status, and coordinate with the finance department to ensure timely payments.
  • Handle the issuance of LOAs to vendors, contractors, and service providers during the VP stage, ensuring compliance with company procedures and approvals.
  • Handle incoming phone calls related to property management and customer relations.
  • Attend to defect complaints from homeowners and coordinate with the relevant teams to ensure prompt resolution.
  • Follow up with customers to ensure their satisfaction and escalate unresolved issues to the Manager when needed.
  • Monitor the e-ticket system used for tracking property-related issues.
  • Assign tickets to the appropriate team members, track their progress, and ensure timely closure.
  • Travel to various project sites for inspections and site visits as required.
  • Collaborate with site-based staff and contractors to address any on-site issues promptly.
  • Assist in organizing and conducting Annual General Meetings for property projects.
  • Prepare necessary documentation, reports, and presentations for the AGMs and support the Manager in addressing stakeholders\' queries.
  • Maintain accurate records of property management and customer relations activities during the VP stage and beyond.
  • Prepare regular reports and documentation as required by the Manager and other stakeholders.
  • Suggest process improvements to enhance efficiency and customer satisfaction in property management and customer relations during the VP stage and beyond.
  • Stay up-to-date with industry trends and best practices, incorporating relevant ideas into daily operations.
Job Requirements:
  • Candidate should possess a Diploma / Advanced Diploma, Bachelor Degree, Professional Certificates or equivalent in Property / Facilities Management.
  • Preferably at least 1 year of related working experience.
  • Preferably Executive specializing in Construction / Property or equivalent.
  • Good communication skills in Bahasa Malaysia and English for both spoken and written
  • Well versed or familiar with Strata Management Act & Housing Development Act
  • Able to read building plans
