Diploma or Degree in Facilities Management, Engineering, Administration, Property Management or equivalent.
At least 2 years of relevant experience.
Proficient in Microsoft Office and computer literate.
Good communication skills.
RESPONSIBILITIES
1. Administrative Support
Provide day-to-day administrative assistance to the Facilities Management team.
Maintain organized records of work permits, service reports, attendance and checklists.
Prepare and update documentation for FM operations, audits and inspections.
Schedule meetings, prepare minutes and track action items for follow-up.
2. Coordination & Communication
Act as a liaison between the FM team, vendors, contractors and internal departments.
Track daily maintenance requests, complaints and job completions through CMMS systems or manual logs.
Follow up with vendors for timely task completion, service reports and invoice submissions.
Coordinate preventive maintenance schedules and ensure timely execution.
3. Procurement & Vendor Support
Raise purchase requisitions and follow up on approvals for FM-related goods and services.
Maintain and organize records of quotations, purchase orders, delivery challans and invoices.
Track vendor documentation, such as compliance certificates, work permits and insurance records.
4. Reporting & Data Management
Prepare and submit standard FM reports to HQ, including daily, weekly and monthly updates on maintenance activities, helpdesk tickets, energy consumption, vendor performance and other KPIs.
Maintain and update site-level asset, equipment and inventory records.
Support data collection and analysis for audits, inspections and management reviews.
Ensure accuracy, consistency, and timely submission of all FM-related data and reports.
5. Health, Safety & Compliance Support
Assist in maintaining safety documentation such as incident reports, fire drill records and compliance certificates.
Support the FM team during internal and external audits.
Ensure statutory and safety information is properly displayed and up to date at site.

Pay: RM2,000.00 - RM2,500.00 per month
