We are looking for : Facilities Program Manager (Facilities Management) Location: Bayan Lepas, Penang As the Program Manager, you are responsible for managing JLL client, providing comprehensive facilities management with a focus on continuous improvement and standardization. As such, you must strive to achieve best practices and drive standardization across the region, meeting the SLA\'s and KPIs established by the Client and corporate management. To ensure facilities management in compliance with the applicable laws, and regulatory bodies, including conformance to Standard Operating Procedures, specifications, safety and requirements. Program Management Develop strategies and implement the integration procedures including performance measures to ensure sustainability. Regional consistency will be of importance. Implement comprehensive quality management programme to minimise defects or re-work and risk of plant failure or interruption, with continuous quality improvement practices. Interface directly with clients to identify and analyse critical needs, define problems, and develop specifications for solution process. Plan and execute transformation and innovation projects focused on new technology development, evaluation, and application to both existing and emerging risks. Implement Governance process at site level, leveraging functional teams and active collaboration with clients. Drive efficient project planning, prioritization and change controls to optimize resources and meet deadlines. Develop, establish, and controls the methods, procedures, and systems to increase overall effectiveness of facilities management, including detailed awareness of system capacity and workstation and track ongoing utilisation. Effectively follow up, review, drive subordinates and response to client for any enquiries pertaining Facilities integration and sustaining. Constantly engage and provide cost-effective and innovative solutions to minimize client cost, safety improvement or enhance existing efficiency, reduce workload, and implement automation process. Establish strong working relationships with all with key stakeholders for successful completion and effective communication. Risk Management Implement risk management program which identifies major property risks including occupational health and safety, fire safety and essential services and environmental. Ensure data integrity of all information and comply with the audit process periodically. Assist in the development of guidelines and strategies to protect health and safety of staff and others, protect client and Appraisal Property Management reputations. Develop disaster recovery and business continuity plan and ensure implementation. Ensure escalation procedures are in place and observed for incident and problem reporting including advice to client, account teams, Regional Managers and insurance company. Procurement and Vendor Management Review Scope of Work for reliability improvement projects, incorporating feasibility, cost and risk assessment, and coordinate with Procurement for commercial due diligence. Review site verifications, SoW clarification and technical assessment, and ensure process flow in accordance to supplier engagement guidelines and commercial process. Review Purchase Order Requests, stakeholder approvals, ensuring timely billing or invoicing and closure. Review contractor performance management programs in accordance to defined CPI/KPI deliverables. Client Relationship Evaluate service response time and analyse service request trends and suggestions. Ensure feedback from client sessions is recorded and action taken to the satisfaction of the end user. Pro-actively develop and manage client or business unit relationships ensuring that the expected service levels are achieved. Lead by example and groom the team in achieving maximum client satisfaction level. Ensure delivery of meaningful inputs across the functional in the development of monthly management reports.
