The incumbent will be responsible to ensure smooth administrative operations of the Office of Graduate School to comply with Higher Degree by Research (HDR) Polices, Procedures and Quality Assurance. This includes providing support to HDR students and supervisors for their project progression and ensuring effective lines of communications between CMGS and Curtin Australia Graduate Research School, HDR students and supervisors, and other internal and external parties.

Key responsibilities:

  • Manage the HDR information counter at the Office of Graduate School and attend to any HDR related inquiries.
  • Respond to enquiries from internal and external stakeholders on HDR issues in a timely manner.
  • Manage HDR admissions by receiving HDR applications, conducting preliminary reviews and following up on the applications with the applicants to ensure that documentations are complete before submitting it to the Director of CMGS.
  • Review all HDR documentation for quality assurance through benchmarking with HDR policies, procedures, audit and accreditation requirements.
  • Maintain up-to-date records and databases for admission, progression, monitoring and completion of HDR students.
  • Liaise with HDR staff at Curtin Australia on HDR policies, procedures and implementations.
  • Prepare annual HDR scholarships and research support budgets.
  • Administer monthly HDR scholarship stipend and tuition fee, and any payment to HDR students\xe2\x80\x99 claims.
  • Prepare reports on a regular basis for Curtin Malaysia Graduate Studies Committee, Research and Development Committee, Curtin\xe2\x80\x99s Research Committee, Academic Board and other management meetings.
  • Prepare HDR student and supervisor profile reports and other HDR data for MQA, MyRA and SETARA accreditations and other audit purposes.
  • Act as Secretary to the Curtin Malaysia Graduate Studies Committee meetings by preparing meeting agendas, documentation, minutes of meetings and assisting the Director in following up on action items arising from meetings.
  • Participate as appropriate in continuous quality improvement programmes implemented across the campus.
  • Proactively identify and implement innovative solutions to identified needs to enhance the operational effectiveness of the department\xe2\x80\x99s function.
  • Generate ideas for growth and further development of HDR programmes in particular and the University in general.
  • Any other duties that may be required from time to time to assist the Director of CMGS and Dean of Research and Development.
Required qualification:
  • Minimum, a bachelor degree from a recognised institution.
Selection Criteria:
  • At least two (2) years of relevant working experiences.
  • Possess highly developed interpersonal skills and conversant in spoken and written English.
  • Demonstrating competence in the use of computers.
  • Demonstrating ability to establish and maintain a filing system and records.
  • Demonstrating ability to comply with policies, follow procedure and provide factual advice to others.
  • Demonstrating ability to work effectively; both independently and in a team environment.
  • Demonstrating ability to produce clear and accurate written reports.
  • Demonstrating ability to plan, organise and manage competing priorities to meet deadlines.
  • Possess positive attitude and skills in providing high quality customer services.
  • Demonstrating ability to learn new things, and continuously develop his/her professional skills
Desirable:
  • Previous experiences in a university environment.
