We are seeking a highly organized and disciplined Corporate Operations Executive to oversee the overall operations in our Malaysia region reporting to the management in Hong Kong. The role requires strong organization and communication skills (fluency in Cantonese), analytical ability, proactive, detail oriented professional who understands local business practices, excels at finding and allocating human resources to drive operational efficiency.
Responsibilities:
Operational & Executive Support:
Provide proactive operational support by anticipating needs, resolving issues, and driving efficiency across administrative processes.
Prepare corporate documents, including memorandums and meeting minutes, and maintain the HR/Admin knowledge base.
Support business development and culture by assisting with project bidding and company event coordination.
Timely response, report and execute any Ad hoc tasks assigned from Management.
Office & Facilities Management:
Manage all office facilities, including vendor relationships, procurement, and potential office relocations or renovations.
Oversee the setup of new offices, including procurement of furniture and equipment, to ensure operational readiness.
Handle day-to-day administrative tasks with discretion, including correspondence, filing systems (physical and digital), and sensitive matters.
Talent Acquisition & Employer Branding:
Lead the full-cycle recruitment process, from candidate sourcing and screening to interviewing and selection.
Enhance our employer brand through strategic social media recruiting on platforms like LinkedIn, Indeed, and Facebook.
Develop and maintain a robust talent pool to meet current and future hiring needs.
Compliance & Legal Administration:
Ensure full compliance with all local Malaysian labour laws, business regulations, and statutory filings (including CP204, Form E, EA Form).
Manage the application, renewal, and upkeep of all necessary business and operational licenses.
Serve as the primary liaison for all statutory matters, coordinating seamlessly with auditors, the company secretary (cosec), and lawyers.
HR & Payroll Operations:
Oversee the end-to-end HR functions, including onboarding, offboarding, leave administration, attendance tracking, and performance appraisal cycles.
Manage the complete payroll process, ensuring accurate and timely processing of salaries, EPF, SOCSO, EIS, PCB and HRDF payments.
Handle all related statutory body submissions and maintain meticulous payroll records.
Qualifications :
Proven experience in HR and Office Management.
Strong knowledge of Malaysian employment law.
A proactive, leadership-oriented attitude.
