Job Description

Provide support in full spectrum of HR in NEC Corporation of Malaysia (NECoMAL) and to its' overall stakeholders.

Main accountabilities:

Manage full spectrum of HR responsibilities in NECoMAL by providing the relevant support on the day to day HR operations and activities with focus on the following mainstreams:

  • Talent acquisition for managerial & non-managerial levels
  • Employee Engagement Activities & Other HR tasks
  • HRIS system management and HR Reports
  • Compensation & Benefits Administration
Main job tasks:

Recruitment of managerial & non-managerial level: (35% of total time spent)
  • Manage high volume of open vacancies from end-to end in a fast paced environment.
  • Guide line managers in finalising job descriptions
  • Responsible for sourcing, identifying and hiring of right talents at all levels
  • Propose salary offers and close positions with right compensation package in line with internal/ external benchmark
  • Provide professional and timely feedback to candidates in relation to job offers and rejected applications.
  • Identify gaps in recruitment process, models & onboarding management and improvise SOPs accordingly
  • Review of sourcing alternatives, company branding, selection criteria and panel listing for recruitment agents.
  • Monitor current and forecast recruitment needs and keep relevant hiring managers updated on recruitment trends and
market developments
  • Build and maintain a pipeline and talent pool of candidates, that supports current and future requirements
  • Ensures all recruitment reporting is updated at all times
  • Ability to build and maintain effective business relationships with HR managers.
  • Excellent communication skills in dealing with candidates and team members
  • Conduct Induction Training for new hires as well as refresher courses as and when policies change
Employee Engagement Activities & Other HR tasks : (30% of total time spent)
  • HR Administration work such as preparation of letters for hiring, medical check-up, confirmation of employment, promotions, salary adjustments, etc.
  • Manage Exit process of non-managerial levels (exit interviews, relevant documentations)
  • Manage Employee Personal Filing system
  • Organize employees' events (birthday celebrations, festive celebrations, company dinners, teambuilding events)
  • Other Employee Engagement activities & Employee Labour Relations issues (Inhouse Counselling/Clinic)
  • Initiate HR projects related to operational process improvement such as reviewing of current HR Policies & Benefits
HRIS system management and HR Reports: (20% of total time spent)

Assist Payroll Department and Managers in the following deliverables:-
  • SAP HR Claims Data Management, Times Software Payroll System Management, Chris 21 System Management and any local/regional HR reports relating to employee statistical reports (e.g. master listings and customized headcount reports, attrition reports, ad-hoc staff listing report generation for internal users such as MIS and Finance, etc.)
Compensation & Benefits: (15% of total time spent)

Mirror Partner for the C&B process for the entire group including outsourcing/expatriate management back-charges and all relevant

statutory requirements /submissions. Deliverables as follow:-
  • Manage payroll process (monthly payroll & annual taxation).
  • Manage leave process and e-leave system maintenance
  • Responsible for annual compensation review process
  • In charge of compensation and benefit benchmarking exercises
  • Initiate annual benefits analysis and reviews
  • Manage benefits administrations
  • Negotiate with vendors on benefits enhancement (insurance/ medical)
  • Undertake Job evaluation exercise (Role Clarifications, s, IPE Mapping, etc)
  • Expat/ International assignment management
  • Involve in annual budgeting process
  • Stay up-to-date with new trends, developments, laws and regulations related to the administration of compensation and benefits
  • Monitoring salary structures, balancing staffing needs with cost controls and ensuring that compensation policies, procedures and programmes are aligned to the organization's overall strategic goals
  • Responsible for initiating and implementing all compensation & benefits related projects (global/ regional/ local)
Other business assignments:
  • Implementation of Global/ Regional/ Local HR initiatives as and when required.
  • Job rotational projects and lateral movements within HR community according to business needs (exchange of HR Discipline/Job Portfolios with other team members as part of HR Business Partner Development Program)
  • Any other ad-hoc tasks and responsibilities as and when necessary.
Work experience
  • Minimum 2- 3 years of HR & Admin experience
  • Less than 1 year experience or fresh graduate possible with coaching program in place
  • Possess HR fundamental knowledge such as payroll administration, recruitment & selection, C&B, training & development, employee relations and etc.
  • Possess knowledge in Employment Act, Labour Laws, IR & relevant government regulations.
  • Experience in Employment pass and PVP processing is a plus.
  • Experience in SAP system is an advantage.
  • For Training & Development Discipline - Know how to Prepare & Maintain the training plan / calendar; knowledge in Learning Management System; knowledge on HRDF grant & claim; qualified Train the Trainer, knowledge on Performance Management & TNA relation; knowledge on ISO Audit.
  • Proficient in spoken and written English and Bahasa Malaysia
  • Proficiency in Ms Word, Ms Excel and Ms PowerPoint with good report writing skills
