Job Description



The

HR Executive

covers a broad range of functions including recruitment, payroll processing, onboarding and offboarding, staff engagement, policy compliance, and administrative tasks. This role will also coordinate employee engagement events such as the annual dinner and represent the organization at career fairs to support employer branding and talent acquisition.

Responsibilities:



1. Recruitment & Onboarding:



Manage the end-to-end recruitment process across all companies: job postings, candidate screening, interview coordination, and job offers. Prepare employment contracts and ensure all onboarding documents and processes are completed. Conduct and update employee orientation sessions and materials (e.g., slide decks). Participate in career fairs and external recruitment events to attract talent and promote employer branding.

2. Payroll & HR Administration:



Process and verify monthly payroll accurately and on schedule for all entities. Handle statutory contributions (EPF, SOCSO, EIS, PCB) and ensure compliance with Malaysian labor laws. Maintain and update employee records in HR systems with high accuracy and confidentiality.

3. Onboarding & Offboarding:



Facilitate a structured onboarding process for new hires, including orientation, system setup, and induction. Manage offboarding procedures such as clearance, return of company property, and final payroll settlement. Conduct exit interviews and compile feedback reports.

4. Employee Relations & Engagement:



Serve as the contact point for HR-related queries from employees across all group companies. Maintain and update the organizational charts regularly. Coordinate employee engagement activities including annual dinners, festive events, and recognition programs.

5. Billing & Invoicing:



Prepare and verify HR-related invoices. Liaise with the Finance Department to process HR-related payments and track expenses.

6. Leave, Attendance & Compliance:



Monitor attendance and leave balances; prepare related reports and ensure accurate records. Ensure all HR operations and procedures comply with employment laws and internal policies.

7. HR Projects & Support:



Assist in the development and implementation of HR policies, SOPs, and improvement initiatives. Support training coordination, performance review processes, and internal audits.

Job Requirements:



Education & Qualification:



Bachelor's Degree in Human Resource Management, Business Administration, Psychology, or a related field. Professional HR certification (e.g., HRDF, MIHRM, or equivalent) is an added advantage.

Experience:



Minimum

2-4 years

of working experience in Human Resources, preferably in a

generalist

role covering recruitment, payroll, and employee engagement. Experience managing HR functions for multiple entities or group companies will be an advantage.

Skills & Competencies:



Solid understanding of Malaysian employment laws, statutory contributions (EPF, SOCSO, EIS, PCB), and HR best practices. Proficient in HR systems, Microsoft Office (Excel, Word, PowerPoint), and HR-related software.

Excellent command of Mandarin (spoken and written) to liaise effectively with employees and stakeholders.

Strong organizational and multitasking abilities with attention to detail and confidentiality. Proactive, resourceful, and able to work independently as well as part of a team.
