Overall responsibility of HR operational support to Volvo CE Owned Dealership in Malaysia. Key focus on payroll, including benefits, claims and leave administration. Also responsible for HR generalist support such as recruitment, compensation & benefits, training, attrition etc.

Main Tasks/ Responsibilities / Authorities
Payroll
Process monthly payroll with high degree of accuracy including verifying overtime, benefits claims, travel & expense claims in accordance to company policies
Liaise with statutory bodies on EPF, SOCSO (employee claims), Income Tax
Update payroll records on new hire, resignation and transfers
Reconcile monthly payroll with staff movements, bonus, pay adjustments
Provide monthly salary accruals to Finance for cost center allocation
Process year-end tax filing (eg: BIK, E & EA form)
Process tax clearance for leavers when required
Key contract for internal & external audit of payroll and benefits records, tax filing and related documents
Execute exit process for leaver on payroll (eg: pay slip, last pay, AL encashment)
Participate in payroll related project
HR Generalist
Employee lifecycle - provide strong operational support to the business in HR area and maintain employee record to ensure personal data changes are captured in employee personal data form, preparation of employee certification letter. Key user of Global HR system Success Factor
Benefits administration - claims, long service award, festive packets, insurance enrolment etc. Key user of leave management system, including administer leave process, year-end annual leave reconciliation
Compensation - support in yearly salary review, bonus cycle (eg: calculation, recommendation, letters)
Training administration - enrolment, payment, HRDF submission
Recruitment - administer recruitment process for permanent, contract, intern hiring, liaise with vendor for work pass application for non-loca; employees
Attrition - involved in attrition process for resignation, termination, redundancy
Reporting - maintain headcount report, administer government survey (If any)
Employee engagement activities - administer long service award, recognition, team building, employee newsletter
Administrative matters - involved in matters relating to company/service vehicle, mobile phone etc.
Involved in HR related tasks and projects as assigned
Forums (Network of Interaction)
External Vendors - payroll, training provider, HR search firms, relevant HR consultancy partners Relevant Government agencies - MEF External auditors

Education/ Professional Qualifications Required
Professional Experience
Diploma/ University degree or equivalent, Major in HR will be an advantage
Minimum 5 years HR experience, at least 1-2 years of managing payroll process
Familiar with local statutory requirement and system (EPF, SOCSO, Income tax)
Strong and broad operational experience with the skills, hands-on HR experience and be involved in detailed transactional HR matters
HR generalist experience will be an added advantage
Additional Important Requirements (e.g. language, mobility):
Excellent Microsoft Office skills, proficient in Microsoft Excel is a must
Excellent written and oral English and Bahasa Malaysia
Fluency in the local language is critical
Experience with Success Factor HR module will be added advantage
