Responsibilities

Recruitment and Selection: * Work with the management team to assess hiring needs and help develop new positions and job descriptions.

  • Understanding manpower requisition from the concerned department
  • Preparing job advertisement (job street, newspaper, networking, banner, flyer, Facebook)
  • Working with recruit agencies to source for candidates
  • Reviewing resumes and screening the candidates by conducting telephone interview
  • Arranging interviews schedule.
  • Doing a background verification of the shortlisted candidates
  • Maintaining and updating the database of the candidates
  • Prepare offer letter and appointment letter to selected candidates
  • Recruiting, testing, and interviewing program like candidate selection, exit interviews and recommends changes
  • Conduct exit interviews with employees leaving the company
Handle the company\'s local staff & foreign workers salary: * Administering payroll and maintaining employee records
  • Maintaining and regularly updating personal file, personal database of each employee
  • Preparing report from payroll software, by excel for OT Summary, and worker advance listing.
  • Prepare bank and cash listing
  • Prepare Government related documents to account for payment purpose:
i. PCB - every 13th of the month

ii. EPF - every 13th of the month

iii. SOCSO & EIS - every 13th of the month

iv. Group Personal Accident - every end of the month

v. To prepare EA Form yearly

vi. To prepare Borang E -March of the year

vii. Packing the cash

viii. Distribute the pay slip, leave form, overtime form * Prepare Salary Summary Data for Account Department by every 15th of the month
  • Update Salary Data for local staffs & foreign workers once quarterly. (March, June, Sept, and December)
  • Preparing letters for staffs such as Employment Contract, Confirmation Letter, Extend Probation Letter, Adjustment Letter, Promotion Letter and Resignation Confirmation Letter.
Company Compensation and Benefits: * Prepare evaluation form for new worker before confirmation
  • Prepare yearly evaluation form to HOD for their subordinate - End of the year
  • Advising on pay and other remuneration issue, including promotion and benefits
  • Attends to employees\' grievances and complaints
  • Provide marriage allowance, bereavement allowance
  • Prepare employee list on seasonal celebration
(CNY, Mooncake, Hari Raya, Mothers\' Day, Fathers\' Day, Birthday etc.)

Reviewed, verified or order: - * Uniform - based on quantity (check on 30th of the month)
  • Medicine / Stationery - based on quantity (check on 30th of the month)
  • Toilet Paper - based on quantity (check on 30th of month)
  • Time Adjustment Record - (check on 21th of the month)
  • OT Summary Record - (check on 7th of the month)
  • Employee List - (check on 20th of the month)
  • Alternative Off List - (check on 20th of the month)
  • Birthday list - (check on 18th of the month)
  • Locker List - (Check on 30th of the month)
  • Waste Collection Record - (check on 15th of the month)
Maintains the work structure by updating job requirements and job descriptions for HR positions.

Preparing seasoning salary, commission, OT for Moon Cake / CNY promoter.

Prepare Saturday Alternate Listing by 22th monthly

Training and Development * To prepare training plan every end of the year
  • Identify training and development opportunities, managing budgets
  • Working with training providers to develop suitable content for the course
  • To handle and update employee training record
  • Arrange the HRDF claim when necessary
Handling of Foreign Worker
  • Manpower planning
  • New Foreign Worker application process
  • Renew Passport - for Myanmar, Nepal, Bangladesh, and Vietnam (When necessary)
  • Register and update new and existing foreign workers in Socso website
  • Renew and extend work permit (Immigration or MYeG)
  • Arrange repatriation for workers (Flight tickets, Taxi and Check Out Memo)
  • Supervising the discipline of foreign workers.
  • Record in Hostel maintaining check list to Maintenance for repair of Hostel Building or Facilities if received feedback from foreign worker.
  • Arrange visitor pass for foreign workers application
  • Arrange and allocated the new foreign workers (Order Sundry, Hostel bed location)
  • Update labor office on new arrival foreign workers (Form PA 1/13) and termination of service foreign workers (Form PA 2/13)Update foreign workers\' name list record, passport details, and insurance record.
Pest Control * Pest Control Service Monthly

i. Rodent Checkpoint

ii. Rodent Glue trap

iii. Insects Light Traps

iv. Review Contract Yearly

Government affair:-

1. Investigate and report on industrial accidents for Socso / FWHS claims (Foreign Workers)

2. To make reimbursement of medical claims (SOCSO claim) when necessary (Local Workers)

3. Perform the related job to labor office from time to time.

6. Minimum Competency Requirement:

A. Academic Level

- Diploma/Degree in any discipline

B. Working Experience

- Minimum 5 years of relevant experience.
