We are seeking HRSS Associate for our newly setup Service Delivery Organisation (SDO). You will be the pioneer team member and be involved in transition/projects in implementing our service delivery center. About the role

This role will be responsible for the provision of professional and accurate first level HR Services, contributing to the achievement of the shared service Centre\xe2\x80\x99s objectives and KPIs.

A key aspect of this role will be ensuring that the employee is at the heart of everything we do and bringing to life the Otis HR Operating Model.

Primary responsibilities include:

  • To put the employee first in our delivery of excellent customer service at all times.
  • Support key activities for a successful transition to the shared service center, ensuring adherence to global standardized process, exception handling and compliance to statutory regulations.
  • Provide outstanding experience to colleagues in Otis.
  • To undertake the administration of HR processes and procedures, ensuring all administration is completed in a timely manner and communicated effectively to employees and Managers.
  • Act as the first point of receipt and triage within SLA of service requests to HR Shared Services teams, ensuring that where possible requests are resolved at first review and if not then assigned to the appropriate team to support the customer / activity.
  • Administrative & Service Center tasks include but are not limited to:
  • Answer and respond to incoming phone calls, web chat, case management and emails in adherence with myHR protocol and service standards
  • Assists employees and managers in all stages of the employee life cycle (onboarding, job changes, retirement, etc.), and able to provide reference to various company policies and procedures regarding a variety of situations
  • Serve as a first contact to answer employee questions about company correspondence and clarify any company communications and policies
  • Prepare ad hoc mail merges as required by the business
  • The preparation and submission of employment references
  • Managing and maintaining accurate employee records (electronic & paper based)
  • Administration of the absence and leave process
  • Administration of new starter materials
  • Ensuring personal completion of helpdesk tasks within KPI timescales.
  • To maintain and update reference materials (SOP, knowledge article, job aid) to ensure all changes are tracked, updated, reviewed and approved.
  • Support translation work required for communication, knowledge articles, SOPs, job aids etc.
  • Support projects from global/regional/country level by leveraging process simplifications and automation to drive world-class service and efficiency.
  • Participate in HR projects as part of the Otis business calendar and ad-hoc in relation to business requirements.
  • To carry out and undertake any relevant training deemed necessary, complete mandatory compliance training
  • Ensure adherence to all Company Policies and Procedures.
  • Be fully conversant and compliant with all Environmental Health and Safety procedures.
  • Fully comply with all Quality, Environmental Health and Safety directives including but not limited to PPE, Accident Reporting, Cardinal Rules, Risk Assessment Method Statement (RAMS), and Continuous Programs.
Qualifications & Experience:
  • Graduate with 4+ years of prior experience of working in a busy, high volume and results focused administrative environment. Shared service Centre experience an advantage but not mandatory.
  • High proficiency in English language, preferably with Mandarin & Cantonese skills both verbal and written.
  • Hands-on experience on HR systems, like Workday and ServiceNow will be an added advantage.
  • Experience of working in structured HR processes and procedures, strict adherence to SLA with focus in quality and service excellence.
  • Excellent in MS Office software (Word, Excel, PowerPoint).
  • Ability to work towards tight timescales with high volumes.
  • Excellent attention to detail.
  • Strong interpersonal skills.
  • Results oriented with the drive to complete a task/project.
  • Responds positively to change.
