We are seeking Mandarin and Cantonese speaking HRSS Senior Associate for our newly setup Service Delivery Organisation (SDO). About the role

This role will be responsible for the provision of professional and accurate HR Data Management to internal and external customers, contributing to the achievement of the shared service Centre\xe2\x80\x99s objectives and KPIs.

You will be the subject matter expert in the HR Shared Services operation and system administration processes to ensure that the service is being delivered in the most efficient, accurate and effective way using the HR systems and development of technology. You will be responsible for HR technology and data reporting service both internally to drive HR Operations service and externally to respond to customer requirement. This role will also coach and support the team to deliver the service in line with the agreed service levels and Otis policies and procedures.

You will collaborate with key stakeholders regionally / globally. As this role interacts with senior stakeholders across the business, excellent interpersonal skills are essential.

A key aspect of this role will be ensuring that the employee is at the heart of everything we do and bringing to life the Otis HR Operating Model.

Primary Responsibilities:

  • Support key activities for a successful transition to the shared service center, ensuring adherence to global standardized process, exception handling and compliance to statutory regulations.
  • Provide outstanding experience to HR partners in Otis.
  • To undertake the data management of HR processes and procedures, ensuring all transaction is completed in a timely manner and communicated effectively to HR.
  • Data management include but are not limited to:
  • Administration of hire to retire transactions in HRIS system
  • Managing and maintaining accurate employee records (electronic & paper based)
  • The preparation and submission of employment references
  • Administration of the absence and leave process
  • Prepare ad hoc mail merges as required by the business
  • To maintain and update reference materials (SOP, knowledge article, job aid) to ensure all changes are tracked, updated, reviewed, and approved.
  • Support translation work required for communication, knowledge articles, SOPs, job aids etc.
  • Support projects from global/regional/country level by leveraging process simplifications and automation to drive world-class service and efficiency.
  • Participate in HR projects as part of the Otis business calendar and ad-hoc in relation to business requirements.
  • Be a subject matter expert for all relevant processes and policies.
  • Provide guidance to other team members and act as a point of escalation within the team for complex and critical processing or where particular judgment needs to be applied to achieve solution.
  • Train and assist with developing new and existing team members.
  • Take an active role where required in the business engagement and training of the new processes and systems as required working in partnership with HR and project stakeholders.
  • Identify opportunity for standardisation and optimisation of process and system use and how this can be operationalised into the HR operation or BU HR process approach.
  • To carry out and undertake any relevant training deemed necessary, complete mandatory compliance training.
  • Ensure adherence to all Company Policies and Procedures.
  • Be fully conversant and compliant with all Environmental Health and Safety procedures.
  • Fully comply with all Quality, Environmental Health and Safety directives including but not limited to PPE, Accident Reporting, Cardinal Rules, Risk Assessment Method Statement (RAMS), and Continuous Programs.
Qualifications & Experience:
  • Graduate with 8+ years of prior experience of working in a fast paced, high volume and results focused administrative environment.
  • High proficiency in English and Chinese (Mandarin and Cantonese) both written and spoken.
  • Prior experience HR Shared Services organizations supporting APAC.
  • Hands-on experience on HR systems, like Workday and ServiceNow will be an added advantage.
  • Experience of working in structured HR processes and procedures, strict adherence to SLA with focus in quality and service excellence.
  • Able to share their knowledge with others in a coaching style that drives performance.
  • Excellent in MS Office software (Word, Excel, PowerPoint).
  • Ability to work towards tight timescales with high volumes.
  • Excellent attention to detail.
  • Strong interpersonal skills.
  • Results oriented with the drive to complete a task/project.
  • Responds positively to change.
