  • Responsible for supporting in full spectrum of human resources
  • Manage the personnel file and document control processes across Northeast Asia (South China, Mainland China, Japan and Korea) to ensure timely and compliant employee records are maintained in accordance to audit requirements
  • Maintaining and updating of HRIS system to ensure employees data are created and updated timely
  • Prepare employment contracts (including contract renewals), acceptance of resignation and exit notifications for new joiners and leavers
  • Coordinate on-boarding process for new staff
  • Track employees\' confirmation of employment status and prepare confirmation letters
  • Off-boarding process for staff - ensure tax clearance, exit surveys are submitted
  • Assist with the requests for business letters (e.g. visa letters, certification of employment letters, Reward & Recognition etc.)
  • Managing of centralised HR email inbox together with counterpart in India
  • Participate in the Employee Engagement Committee initiatives and any other HR projects as required
  • Compile management reports, government surveys and submissions as required
  • Coordinate with intranet (T2) team for all HR related information to ensure most updated HR policy information are reflected on the intranet portal regularly
  • Administer employee benefit and claims inquiry with designated external vendors across Northeast Asia
  • Insurance enrolment/deletion for incoming/outgoing Northeast Asia staff
  • Checking insurance renewal invoices and submit for approval
  • Coordinate staff training/course registration or process payment e.g. RICS or HKIS
Qualifications
  • Experience working in a similar role for an international company highly preferred
  • Excellent English communication skills in both written and verbal
  • Fluency Mandarin, Cantonese and/or Japanese
  • Proficient in full Microsoft suite of applications including Outlook (emails and calendar), Word, Excel, and PowerPoint
  • The ability to multi-task and prioritise workload is essential
