Job Description

Provides administrative and analytically support at an entry level to the HR Business Partner(s) in order to provide the highest levels of customer service, information, and assistance for a group, site, or division. Interacts with employees on a day-to-day basis to answer routine HR questions

1. 45% of the job scope:

  • Acts as the first point of contact for both internal and external HR inquiries.
  • Resolves issues as appropriate or escalates for further action.
  • Participates in HR projects and supports the performance management and merit processes.
  • Generates reports to support ongoing business needs and projects, as required.
  • Performs research, analysis, and summarises/reports data as needed for the HR Business Partner(s).
2. 45% of the job scope:
  • Prepares postings, receives bids, prepares summaries and schedules interviews.
  • Prepares internal and external offer packets and coordinates the new hire process, including pre-employment screenings, Oracle new hire entry, the collection of new hire paperwork, and first-day logistics as well as coordinating probationary forms.
  • May conduct employee interviews.
  • Manages the separation process, including Oracle entry, notification, and post-employment requirements.
  • Ensures data integrity of information entered into systems.
3. 10% of the job scope:
  • Maintains employee files and prepares and processes required paperwork for personnel actions, assignment changes etc., including Oracle entry.
  • Processes payment for contract employees, as required.
  • Assists in other HR duties necessary to the operation of the department.

  • Typically requires a minimum of 3 years related experience or educational equivalent.
  • Proficiency in Microsoft Office applications (Outlook, Word, PowerPoint, Excel).
  • Oracle e-business suite experience preferred, or similar HRMS operating system.
  • Comfortable with new technology to enhance collaboration & communication (instant messaging, smart phones, etc)
