Job Description

This position is merely an administrative functions and general support as well as coordination of the admin duties as required by the General Manager or any assigned superior.

Tasks & Responsibilities :



Administrative Operations


a) Assist in routine administrative tasks such as typing, photocopying, filing, and document handling as part of core daily support functions.
b) Perform data entry and assist in record updating tasks
c) Assist in onboarding preparation for new staff by supporting the setup of workstations, preparing welcome materials, and checking availability of office supplies, under supervision.
d) Assist in preparing simple purchase requests and price comparison sheets, and support the team in raising purchase requisitions and POs for office stationery, maintenance items, and assets, including sourcing and stock monitoring for HQ and sites.
e) Maintain the cleanliness and maintenance of the office

Invoice, GRN Handling & Utilities Updates


a) Assist in data entry for delivery orders (DO) and upload them to the system to generate GRNs, ensuring they align with the corresponding purchase orders (PO). Support the team in keying in supplier invoices and preparing documentation for the three-way matching process.
b) Download monthly utility bills (e.g., electricity, water, internet) from relevant portals and assist in tracking recurring invoices (e.g., Tea Lady, office rental, parking, plotter) to ensure timely submission to finance.

Front Desk & Telephone Etiquette


a) Attend to walk-in visitors with a professional and courteous attitude
b) Receive and screen incoming calls, directing them to appropriate personnel
c) Attend to customer/client inquiries and take detailed messages in the absence of relevant staff
d) Provide accurate information to guests, staff, and external parties
e) Observe confidentiality and ensure professional phone and in-person communication

Documents & Mail Handling


a) Receive and log incoming mail, document dispatches, and courier parcels, ensuring timely and accurate distribution to the respective personnel.
b) Prepare documents and parcels for courier service, including typing slips and arranging timely pickup.
c) Provide basic support to the team by handling routine communications such as circulating internal memos or notices

Other Duties


a) Carry out any other responsibilities or tasks as assigned by Management from time to time.
b) Assist in covering team members' duties during their absence to ensure continuity of administrative support.

Requirements:



Currently pursuing Diploma/Degree in Administration/Business or equivalent. Minimum internship duration of 3 months. Strong organizational skills and attention to detail. Proficient in Microsoft Office (Word, Excel, PowerPoint). Good communication and interpersonal skills. Willing to learn and adapt in a fast-paced environment.

Contract length: 4 months

Pay: RM800.00 - RM1,000.00 per month
