KEY RESPONSIBILITIES:
1. Project Management:
Plan, coordinate, and execute IT projects ensuring timely delivery within scope and budget
Develop detailed project timelines, resource allocation plans, and risk mitigation strategies
Monitor project progress using project management tools and methodologies
Coordinate with technical teams, vendors, or stakeholders to ensure project alignment
Conduct regular project reviews and status meetings with internal teams and clients
2. Client Management:
Serve as primary liaison between clients and technical teams throughout project lifecycle
Gather and document client requirements, ensuring clear communication of expectations
Conduct on-site client visits for project implementations, training, and support
Manage client relationships and ensure high satisfaction levels
Handle client escalations and resolve issues promptly and professionally
3. Technical Coordination:
Coordinate system implementations, integrations, and technology deployments
Oversee user acceptance testing and system go-live activities
Ensure proper documentation of technical specifications and project deliverables
Facilitate knowledge transfer sessions between technical teams and end users
4. System Administration Support:
Monitor and maintain IT infrastructure including servers, networks, and cloud services
Coordinate with technical teams on system maintenance, updates, and troubleshooting
Manage IT asset inventory, licensing, and compliance requirements
Support backup and disaster recovery procedures
Assist with cybersecurity initiatives and compliance monitoring
5. Help Desk & User Support:
Provide first-level technical support to internal staff and clients
Coordinate with technical specialists for complex issue resolution
Create and maintain user guides, documentation, and knowledge base articles
Conduct basic user training on software applications and IT procedures
6. Vendor & Procurement Management:
Coordinate with clients or vendor for hardware, software, and service procurement
Manage clients or vendor relationships and service level agreements
Process purchase orders and track IT-related expenses
Evaluate clients or vendor proposals and support decision-making processes
7. Administrative Excellence:
Maintain comprehensive digital and physical filing systems
Prepare reports, presentations, and documentation for management
Coordinate meetings, take minutes, and track action items
8. Process Improvement:
Implement best practices for project management and operational efficiency
Support the development and maintenance of IT policies and procedures
Assist with quality assurance initiatives and process documentation
9. Cross-functional Collaboration:
Liaise with HR, Finance, and other departments on IT-related initiatives
Support recruitment activities for IT positions including technical assessments
Coordinate with external auditors and compliance officers as needed
Facilitate communication between technical and non-technical stakeholders
REQUIRED QUALIFICATIONS:
1. Education & Experience:
Bachelor's degree in Information Technology, Computer Science, Business Administration, or related field
1-5 years of experience in IT coordination, operations, or project management
Proven experience working in a client-facing role within the IT industry
2. Technical Skills:
Proficiency in project management tools (e.g., Microsoft Project, Jira, Asana)
Strong understanding of IT infrastructure, networks, and cloud services
Experience with help desk systems and ITIL frameworks
Knowledge of database management and software applications
3. Core Competencies:
Excellent written and verbal communication skills in English and Malay, extra if you can speak in Tamil.
Strong analytical and problem-solving abilities
Exceptional organizational and time management skills
Ability to manage multiple projects and priorities simultaneously
Customer service orientation with strong interpersonal skills
Previous experience in a managed services or consulting environment
4. Working Conditions:
Full-time position with occasional evening or weekend work during critical projects
Regular travel to client sites as required (estimated 20-30% travel)
Collaborative office environment with cross-functional teams
Valid driving license and willingness to travel to client sites
