Job Description


Responsibilities encompass overseeing team operations with a focus on adherence to internal policies, risk management and client relationship management.Functional Responsibilities:

  • Independently attend meetings when required.
  • Ensure team members strictly adhere to internal policies and SOPs.
  • Identify and highlight potential risks to Senior Managers and Directors, recommending necessary actions.
  • Ensure timely billing and collections, including capturing all incurred OPEs.
  • Maintain best practices in corporate governance and comply with statutory/regulatory requirements.
  • Properly file clients\' documents and records in statutory records, maintaining effective records management.
  • Participate in recruitment interviews and exercises.
  • Conduct or facilitate training sessions as needed.
  • Meet potential clients, prepare proposals, and provide quotations for new projects.
  • Promptly disseminate information and messages from Senior Management to team members.
  • Support Senior Managers and Directors during their absence.
  • Handle any other tasks assigned by Management.
P&L Responsibilities:
  • Provide guidance, leadership, and supervision to team members.
  • Communicate position criteria and KPIs clearly to team members.
  • Manage and evaluate team member performance.
  • Guide and develop team members to enhance their professional competence.
  • Optimize the utilization of team resources.
  • Provide training and development opportunities for team members, including counseling when necessary.
People Management:
  • Consult with CEO, Directors, and Fellow Managers as needed.
  • Coordinate and maintain communication with other divisions.
  • Assist Directors in implementing strategies and policies for the CS Division.
  • Offer timely feedback and relay staff concerns and requests to Senior Managers and Directors, proposing potential solutions.
Client Relationship:
  • Expand the client base and identify business opportunities for development.
  • Foster strong client relationships and maintain rapport.
  • Achieve high client satisfaction and retention.
  • Support cross-selling of other Vistra services.
  • Deliver client services according to agreed-upon scopes.
  • Provide technical advice, solutions, and anticipate client needs effectively.
Other Responsibilities:
  • Actively pursue billing opportunities.
  • Ensure quoted fees adhere to the adopted fee guide and effectively recover time costs.

  • Minimum 6-7 years of relevant experience in corporate secretarial roles.
  • Hold a full ICSA qualification or possess a bachelor\'s degree in Corporate Administration.
  • Experience with public listed companies is advantageous.
  • Familiarity with Companies Acts, Bursa Malaysia Listing Requirements, CS Guidelines, and related regulations.
  • Strong communication, analytical, and problem-solving abilities.
  • Proficient in spoken and written English.
  • Competent in statutory form filing and Companies Acts.
  • Capable of working independently and collaboratively.
  • Possess excellent interpersonal skills, urgency management, and ability to perform under pressure.
  • Demonstrated ability to understand and meet customer and organizational needs.
  • Exhibited leadership qualities and confidence in client-facing roles.
