1) Summary of Principal Job Responsibility: To oversee the credit control function as a whole- billing & collection To oversee the tenancy function as a whole- tenancy 2) Specific Job Duties and Responsibilities: Credit Control a. Oversee the billing process to ensure billing are generated for all tenants b. Oversee the collection process to ensure collection are made on time and official receipts are issued accordingly c. Handle debtors\xe2\x80\x99 enquiries and take appropriate action to resolve the issues d. Prepare collection and outstanding report and review aging report adequately e. Oversee the sales report are collected on time and billed accordingly f. To oversee the process of invoice generation, credit notes, debit notes, water & electricity invoice, promotional space, pushcarts, mall ads, late payment interest, etc g. To check and verify all credit control documents; official receipt, debit note & credit note, other relevant documentations h. To extend the lot capacity of the mall in the system i. To highlight to HOD problematic tenants and propose possible solutions to recover delinquent debts j. To liaise with solicitors to take legal actions against tenant k. To follow up with tenant (whenever required) on collections/issues that needed to be rectify l. Provide support to superior in other documentation works related to credit control as well as compilation and preparation of the relevant reports m. Reconciliation of reports n. Facilitating the issuance of reminders o. To handle all inquiries from tenant pertaining to their tenancy p. To negotiate with tenant on the settlement of outstanding and propose outstanding settlement scheme and obtain approval from management Tenancy a. To oversee tenancy process b. To ensure all Letter of Offer is issued, signed and returned back to management c. To ensure each signed letter of offer related tenancy agreement or license agreement is prepared and forwarded to tenant. To ensure the agreements are signed, stamped and returned back to management d. To ensure all renewal notice are signed by tenant and return back to management e. To ensure all signed renewal notice related tenancy agreement or license agreement is prepared and forwarded to tenant. To ensure the agreements are signed, stamped and returned back to management f. To closely monitor expiring tenant and notify leasing for renewal proposal g. To ensure all new tenant and renewed tenant, their data are key in into the system in timely manner and accurately h. To oversee the issuance of vacant possession over absconded tenant. To ensure the vacant possession process are completed and management obtained the demised premise back. To check tenancy master listing monthly to ensure all tenants tenancy details are accurately recorded and cross check to credit control master listing. This is to ensure all tenant are accurately billed. j. To monitor the issuance of termination letter The above functions are by no means exhaustive. The responsibilities of the position will be reviewed/amended from time to time reflect the business needs of the Company JOB REQUIREMENTS Educational/Professional Qualification \xe2\x80\xa2 Degree in Finance/Accountancy or equivalent Work Experience \xe2\x80\xa2 5 years Language Proficiency \xe2\x80\xa2 English, Malay and Mandarin (added advantage) Personal Attributes & Other requirements \xe2\x80\xa2 Strong analytical skills. \xe2\x80\xa2 Attention to Detail. \xe2\x80\xa2 Deadline-Oriented. \xe2\x80\xa2 Confidence to deal with a range of stakeholders. \xe2\x80\xa2 Excellent time management skills and ability to prioritize a demanding workload.
