What is the opportunity?

RBC Investor & Treasury Services Malaysia is a processing center of operational excellence supporting 10 countries across three geographical time zones. Malaysia is one of two operational processing hubs that supports Custody - Transaction Management; Settlements; NAV Production; Fund Reporting; Shareholder Services; Global Fund Platform Services; Data Service Delivery; Entitlements \xe2\x80\x93 income and corporate actions and Reconciliations. The country employs a Global Operating Model to maximise efficiencies across times zones and supports a 24/5 operational capability. The objectives for Malaysia are to enhance the scalability of our global operations, improve service quality via our \xe2\x80\x98centres of excellence\xe2\x80\x99 and to implement/leverage standard processes globally.

As a Manager, Shareholder Services, you will be accountable for providing high quality service through the management of day-to-day activity within Register department. The individual should be a self starter, motivated person with strong analytical skills. He/she ensures a superior level of service is maintained at all times by managing a team within the Register Departments. He/she should be raising awareness of risks and pending issues across the team, presenting potential solutions and leading calls with clients and other senior staff. The individual should provide exceptional experience in all engagements with RBC Investor Services.

The incumbent will hold a Manager position within the Register team and will be responsible for the various functions which consist of managing all operational tasks and legal reporting while ensuring optimal delivery to clients and rigorous risk management.

Working hours: 3:00PM -12:00AM / 4:00PM \xe2\x80\x93 1:00AM

What will you do?

Main activities:

Deliver quality service by ensuring that all operations are in line with customer and/or legal requirements.

Ensuring risk profiling and customer due diligence in line with TA AML/ KYC guidelines or Clients specific KYC policy for accounts and dealers in the funds.

Collecting information and performing classification in line with various regulations such as FATCA, RDR, AIFMD...

Filing of electronic documentation and processing of data in SHS system (BP module and SARA): account & dealer identification and creation, account & dealer maintenance

Defining standards and procedures to be put in place within the team

Being the escalation point, adhering to the terms of generally Accepted Transfer Agent Principles, Prospectus, internal policies, plan and execute the processes in order to minimize risk; increase efficiencies and improve quality.

Providing optimal client service and ensure deliveries are in line with SLA

Leading escalation calls with investors, clients and internal stakeholders.

Supporting the migration In or out, audits and UAT as required.

Establish an environment of continuous improvement that assesses workflow, processes and procedures on an ongoing basis, ensuring maximum efficiency and quality within the Register management team.

Managing people, coaching, mentoring and leading the team as well as providing training.

Operational Effectiveness :

Ensure and supervise the accuracy, timeliness and completeness of all processes.

Establish an environment of continuous improvement that assesses workflow, processes and procedures on an ongoing basis, ensuring maximum efficiency and quality within the Register management team.

Readiness:

Run and deliver approved Shareholder Services projects on an ad-hoc basis

Create operational procedures to be applied within the department.

Participate to SHS related projects managed by other teams / units (Client Design, Client change, Product.)

Identify and implement programs for continuous operating process, product enhancement and risk mitigation reinforcing best practice, ensuring maximum efficiency and quality in line with Department objectives

Ensure procedures are available, up to date, understood and applied by team members.

Mitigate financial/reputational risk by escalating potential issue immediately.

Follow up on incident and related action plan

Review client requests for new / enhanced services and design new operational process to meet customer expectations.

Human Resources Management and Development:

Apply and administrate human resource policies in relation to direct team members.

Ensure all new employees are appropriately trained and coached.

Provide leadership to the team through effective communication and on-going team meetings.

Ensure right allocation of resources to manage business without interruption.

Formal performance reviews are held on a semi-annual basis to ensure staff are meeting the groups overall strategies and personal objectives.

Manage the team activities in a clear and efficient way : agree on ownership, monitor workload within the team and ensure timeline is met according to expectations and priorities.

Provide leadership, influence change, and drive the overall direction of the team

Undertake plan for empowering and uniting the team and ensure that resources are effectively managed / recognition initiatives.

Provide constructive and regular feed-back to the management and submit opportunities to extend the scope of the mandate.

Process improvement / projects

SHS operations readiness for Luxembourg based clients

SHS oriented projects delivery

Support deal management for RFPs and prospects.

What do you need to succeed?

Must-have

An undergraduate or Master\xe2\x80\x99s degree in Accounting, Finance, or other Business related field.

Typically 5 \xe2\x80\x93 8 years of relevant industry experience and operational Management experience.

Good knowledge about Fund/Trust Industry and Financial Markets in general.

Prior exposure to Operational Risk and the corresponding risk monitoring tools.

Excellent attention to detail

Good interpersonal skills and networking skills with all stakeholders
