Job Description

OVERVIEW



To act as internal support for coordinating the whole sales and delivery process, from receiving orders from Customer Service to Job Order to Production, estimated and confirm production completion date, scheduling lorry routing and monitor lorry movement for the delivery of goods and liaising with Warehouse for packing and loading also involve in stock movement.

MAIN DUTIES & KEY RESPONSIBILITIES :-



Production Scheduling.



Collaborate with Sales & Production team to understand production requirements.
Develop detailed production schedules based on demand forecasts, production capacity, and inventory levels.

Optimize production schedules to minimize lead times and ensure timely delivery of products. To make sure all production output records are tally and accurate. Generate Excel report to monitor the daily production output for review and comparison. Adjust schedules in response to changes in demand, resource availability, or unforeseen disruptions. Develop production schedules that align with demand forecasts, inventory levels, and customer orders. To issue Job Orders to Production Department within 24 hours upon receiving Sales Orders from Customer Service. To plan and confirm with Production Department on production completion date base on existing Job Orders and production capacity. To communicate and follow up with Production Department on production completion time and backlog. Oversee and monitor the usage of raw materials throughout the production process to ensure efficient resource utilization and maintain target production output levels.

Issue DO, Delivery planning, route planning & monitoring.



Organize, monitor, supervise, and review all sales inquiries, purchase orders and delivery arrangements. Act as the primary point of contact (PIC) with overall responsibility for ensuring efficient coordination across sales, production, and logistics. Supervise the Customer Service (CS) team to effectively manage relationships with sales managers and customers, ensuring high standards of service and responsiveness. Issuing DO, Invoice, and packing list for delivery arrangement. To prepare delivery plan for all sales order orders received and MUST SUBMIT to HOD for review on daily basis. Arrange for delivery of completed goods and stocks. Arrange and schedule delivery routes and goods collection for Lorry Drivers. Develop optimized delivery routes considering factors such as distance, traffic conditions, and delivery time windows. Utilize route planning software and tools to enhance efficiency and reduce transportation costs. Work to minimize fuel costs, transportation expenses, and other operational costs associated with lorry deliveries. Confirming delivery dates with Sales Team & Customers. Monitor lorry movements in real-time using GPS tracking systems. Address any unforeseen issues such as traffic delays, road closures, or vehicle breakdowns promptly. Ensure that each lorry is loaded efficiently to maximize delivery volume while adhering to weight and safety regulations. Responsible to plan maintenance and repairs of the lorries. Responsible to prepare trip allowance, trip advance and OT claims for Lorry drivers. Maintain accurate records of delivery schedules, lorry assignments, and performance metrics. Generate regular reports on delivery efficiency, delays, and other key indicators. Prepare and regularly submit detailed reports to the HOD on outstanding orders, including breakdowns by color, responsible salesperson, and customer.

Inventory / Warehouse



Coordinate with inventory and warehouse teams to maintain optimal levels of raw materials and finished goods. orders, and invoices. Collaborate with warehouse teams to coordinate loading schedules and ensure timely availability of goods for delivery. Work closely with Warehouse & Production teams to manage stock levels and optimize delivery planning. Prevent stockouts and excess inventory through effective planning. Coordinate with Warehouse for stock packing for delivery and stock status. Confirm stock status once receiving an order with Warehouse Department. To inform Warehouse every morning delivery schedules of the day on week days. To inform Warehouse delivery schedules for weekends by Friday evening. To provide and prepare Packing List and labels pass to Warehouse on time for packaging and loading of lorries.

Risk Management



Ensure timely, accurate processing and alignment with customer requirements, continuously seeking improvements in operational efficiency. Highlight to Management on critical order backlog and customer complaints. Anticipate and mitigate potential production delays or disruptions. Create a backup strategical planning in order to avoid further plans disruptions.

Other Duties.



Any other ad hoc duties that may be assigned by the Management from time to time.

Key Requirements.



Must be able to speak and write Mandarin

to communicate effectively with the China Production Manager.
(Non-Mandarin speakers need not apply.)

Possess at least a

Diploma or Degree

, preferably in

Marketing, Sales, or related fields

. Minimum

2-3 years of working experience

in

Sales Support

,

Planning

, or

Corporate Sales

roles. Able to

plan and coordinate production schedules

and

delivery arrangements

based on sales orders. Experienced in

lorry delivery scheduling and route planning

.

Computer literate

- proficient in

Microsoft Office

,

SQL

, and

ERP/Supply Chain systems

. Strong

coordination and communication skills

with internal teams and customers. Highly

organized, detail-oriented, and accurate

in handling data and figures.

Self-motivated

, with good interpersonal skills and a strong sense of initiative. Able to

work under pressure

commit extra hours

during peak periods.
Job Type: Full-time

Pay: RM3,500.00 - RM4,500.00 per month
