Job Description


  • High school diploma or equivalent; additional qualifications in office administration or related field are a plus.
  • Proficiency in English and Bahasa Malaysia is a must; proficiency Mandarin is a plus.
  • Proven 1 year experience as an office administrator, office assistant, or in a similar role are a plus.
  • Proficiency in Microsoft Office Suite and tech-savvy with a willingness to learn and adapt to new tools and technologies.
  • Passion for working in a start-up environment with a can-do attitude
  • Excellent communication and interpersonal abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work independently, collaboratively in a team environment, stay organized, and thrive in a fast-paced, everchanging environment
Responsibilities

Administrative Support:
  • Manage and maintain office supplies, equipment, and facilities.
  • Manage and maintain an inventory of office equipment and software licenses.
  • Answer and direct phone calls, emails, and inquiries to the appropriate individuals.
  • Greet and assist visitors, clients, and employees entering the office.
  • Coordinate and schedule meetings, appointments, and conferences.
  • Handle incoming and outgoing mail and packages.
Documentation and Record Keeping:
  • Organize and maintain office files, records, and documents.
  • Assist in the preparation and distribution of internal and external communications.
  • Draft and edit correspondence, reports, meeting minutes and other documents as needed.
  • Ensure confidentiality and security of sensitive information
Financial and Operational Support:
  • Assist in basic accounting tasks such as invoicing, expense tracking, and budget monitoring.
  • Assist in record keeping Operation Inventory
  • Assist in record keeping of Asset Inventory
  • Consolidate mails from respective owner to respective owner files.
  • Coordinate with vendors for office-related services and supplies.
Team Collaboration:
  • Work closely with various departments to provide administrative support.
  • Assist in organizing and coordinating office events or team-building activities.
  • Foster a positive and collaborative office culture.
