Job Summary



The Operation Admin is responsible for providing essential administrative and operational support specifically for security guard management, foreign worker processing, FOMEMA compliance, documentation handling, and logistics coordination. This role ensures smooth manpower deployment, proper record management, and regulatory compliance for Malaysian and Nepalese security guards.

Key Responsibilities



Maintain updated records for all security guards, including personal files, training records, license/permit renewals, contracts, and deployment history. Prepare letters, memos, reports, and standard operating documents. Maintain and update company databases, employee records, and operation files. Monitor attendance, timesheets, and manpower placements. Process and arrange medical test appointments for foreign security guards. Handle online payments, appointment scheduling, and documentation through the FOMEMA Portal. Track and update stock in/out for uniforms, accessories, equipment, and operational tools. Process new applications and renewals for CNU (Carry & Use) firearm licenses. Prepare and maintain proper documentation required by PDRM and regulatory agencies. Register security guards for CSG Training Courses. Monitor expiry dates and ensure compliance with firearm regulations. Assist in Nepalese passport renewal processing. Prepare required documents, forms, and submissions. Update the passport validity and record in the guard database. Maintain updated records for all security guards (local & Nepalese).

Requirements



Minimum Diploma or Degree

in Business Administration, Management, Human Resources, or related fields. Experience in a security company or manpower-based industry is an advantage. Good communication skills Proficient in Microsoft Office (Excel, Word) Strong administration, coordination, and record-keeping abilities. Ability to handle pressure and urgent operational requests.

Pay: RM2,500.00 - RM3,500.00 per month
