Operations Support Executive

Job Description

Key Objectives:



1. Be the main contact for customers and liaise with Operations to ensure Operations have sufficient documents and information for smooth operations.

2. Co-ordinate with all relevant parties and pass the complete and up to date information to Management and Operations, thus enabling them to make decision quickly and accurately.

3. Prepare and provide all necessary and agreed pictures and documents to the customers without any delays.

4. Ensure Billing Department gets complete charges to bill the customers for the work completed by Operations Team.

Main Scope:



1. To liaise with customers for new operations job (TSA, CFS, Northport, Westports) by ensuring all relevant documentations are ready before Operations starts work, check in Northport/Westports system, and update the information to support the Operations Team.

2. Monitor ongoing operations and keeping track to avoid any charges, and record if there's any additional charges.

3. Ensure smooth closures of Operations by co-ordinating with hauliers and forwarders (for CFS to return MT or laden to CY), and other parties (liaising with customers for arrangement of truck collections) to make sure all tasks completed without any delay and status updated to Management and customers.

4. Report to Management and Customers if there's any damage identified during ongoing operations or after work completed as per our SOP.

5. Collect pictures, evidence, tally sheets and other documents from Operations to submit to customers.

6. Verify OT Vouchers from Operations for related Operations Task.

7. Prepare documentation to include all charges to customers, including if have any

a. Forwarding charges

b. Delay and storage charges that is not due to our own Operations

c. Cancellation charges

d. Additional documentation such as Fumigation Cert, Certificate of Origin, etc.

e. Other charges as per agreed in the quotation or contract.

8. Handover billing summary to Billing Dept.

Other Scope that Management and Operations may request:



1. Gather customer requirements for new quotations

2. Involve in investigations for cases where there's dispute with customers, Northport/Westports, custom, etc.

3. Involve in inquiry to assist the Company in getting accurate facts finding for identifying the root cause for any incidents, accidents, claims, or disputes.

4. Support the operations on IT related tasks such as sending emails, tracking of direct customer expenses, photocopy and other administrative task that our Operations Team require to enable them to be more efficient in the operations.

5. To source for suppliers that directly impact the customers or operations as per request by management.

Job Types: Full-time, Permanent

Pay: RM1,800.00 - RM3,200.00 per month
