The Personal Assistant to the Deputy CEO provides high-level executive, administrative, and analytical support to ensure the efficient management of the Deputy CEO's office and the smooth execution of key business priorities. This role combines strategic coordination, data-driven reporting, and confidential administrative assistance. The incumbent will serve as a trusted liaison between the Deputy CEO and internal/external stakeholders, manage day-to-day operations, and contribute to organizational effectiveness through proactive planning, research, and follow-ups on strategic initiatives.
Responsibilities:
Manage the Deputy CEO's daily schedule, appointments, and travel arrangements with utmost efficiency and confidentiality.

Prepare briefing materials, reports, presentations, and correspondence for internal and external meetings.

Coordinate, document, and follow up on meeting outcomes, ensuring timely completion of action items.

Maintain and organize records, files, and confidential information with discretion and accuracy.
Oversee general administrative functions within the Deputy CEO's office to ensure smooth operations.
o
Coordinate cross-departmental communications and assist in monitoring the progress of key operational and strategic projects.
o
Prepare regular management updates, operational summaries, and status reports for review by the Deputy CEO.
o
Collect, analyze, and interpret operational and business data from corporate and manufacturing functions to support decision-making.
o
Develop and maintain dashboards and analytical reports highlighting key performance indicators (KPIs) and business trends.
o
Provide data-driven insights and recommendations to enhance business efficiency, performance, and strategic outcomes.

Ensure data accuracy, consistency, and integrity
Partner with internal teams (Finance, Operations, Sales & Marketing, IT, HR, and others) to support strategic initiatives and performance tracking.
o
Facilitate the flow of information and alignment between the Deputy CEO's office and business units.
Support the documentation of processes, workflows, and Standard Operating Procedures (SOPs) related to the Deputy CEO's initiatives.

Assist in implementing data governance and continuous improvement frameworks within the business operations function.
Requirements:
Education: Bachelor's Degree in Business Administration, Office Management, Secretarial, Business Analytics, Data Science, or a related discipline.
o
Minimum 3-5 years of relevant experience as an Executive Assistant, Personal Assistant, Business Analyst, or Operations Coordinator.
o
Prior exposure to a manufacturing or corporate environment is highly advantageous.
o
Proven ability to manage confidential information with discretion and professionalism.
o
Strong analytical and reporting skills, with proficiency in Excel, Power BI, or similar analytical tools.
o
Demonstrated organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment.
o
Strong interpersonal skills, professionalism, and initiative in problem-solving.

Pay: RM7,000.00 - RM12,500.00 per month
