Position Overview

We are seeking a highly organized and proactive Personal Assistant cum Admin Executive to support the Founders (Dr. Abi ) in the daily operations, scheduling, communication, and administrative management of W&F Oasis.

The role requires someone detail-oriented, discreet, and capable of multitasking in a fast-paced healthcare and wellness environment.

Key Responsibilities

1. Executive & Administrative Support

Manage the daily schedule, appointments, and calendar of the Founders. Organize meetings, prepare minutes, and follow up on action items. Handle travel arrangements, bookings, and logistics for work-related events or workshops. Maintain confidentiality of all sensitive business and personal information.
2. Office & Operations Management

Oversee day-to-day office administration including document filing, correspondence, and record keeping. Coordinate with vendors, suppliers, and partners for office and event needs. Manage clinic/office supplies, petty cash, and simple bookkeeping tasks. Assist in maintaining HR records such as staff attendance, leave, and payroll coordination.
3. Communication & Coordination

Draft and manage emails, letters, and official documents. Liaise with clients, partners, and participants for programs, workshops, and consultations. Support social media and marketing communications when needed (in collaboration with media/marketing team).
4. Event & Program Support

Assist in organizing and coordinating W&F Oasis programs such as Fall Workshops, CGA Clinics, and Caregiver Training sessions. Help with registration, participant coordination, logistics setup, and follow-ups.
5. Reporting & Documentation

Prepare weekly administrative and operational reports. Maintain databases for clients, vendors, and collaborators. Assist in drafting proposals, presentation slides, and training materials when needed.
Requirements

Qualifications

Diploma or Degree in Business Administration, Management, Healthcare Administration, or related field. Minimum 2 years of experience in administrative or PA roles (experience in healthcare/wellness is an advantage).
Skills & Competencies

Excellent communication skills (Malay & English). Strong organizational and time management abilities. Proficient in Microsoft Office / Google Workspace tools. Familiar with Canva, WhatsApp Business, and social media platforms is a plus. Discreet, professional, and able to handle confidential information. Able to multitask and work independently with minimal supervision.

Working Hours

Monday to Friday: 9:00 AM - 6:00 PM Saturday: As needed for events or programs
Remuneration

Salary Range: RM2,500 - RM3,500 (based on experience) Allowances & incentives based on performance
