Perform a variety of administrative and secretarial tasks including co-ordination of office setup and handling of company errands.
Assist in the preparation of meetings, appointments, reports, PowerPoints presentation slides, paper works and tracking. Write and issue accurate minutes for meetings.
Maintain proper filing system and record-keeping of information.
Handle daily incoming and outgoing communications, including email, telephone and WhatsApp messages responsively and professionally.
Handling travel and accommodation arrangement i.e., flights, hotel reservations, and others
Provide support to Director for all areas including secretarial duties, personal admin and confidential matters
To coordinate and maintain Director schedules/calendar, to arrange appointments, meetings (internal and external)
Ensure effective appointments and time management to achieve a smooth flow of Director\xe2\x80\x99s schedules.
Exercise good judgements in managing priorities, response to inquiries and workflow.
Able to work independently with minimal supervision and collaboratively in a team environment.
To prepare tender documents, contracts, budgets, bills of quantities and other documents.
Any others duties that may be required from time to time for the smooth running of company business.
Other tasks as assigned by the superior/management.
REQUIREMENTS:
Must be able to READ Chinese because some documents are written in Chinese language.
Working Days : Monday ~ Friday , 8am to 5pm
Required skill(s): MS Excel, MS Word
Aggressive, good interpersonal, well organised with good communication skills
Able to work independently with minimum supervision and willing to learn
At least 2 years of working experiences, preferred in similar role and preferred with finance background
