Personal Assistant To Director

Job Description


Duties and Responsibilities:
1. Managing diary and schedule meetings and appointments.
2. Managing the Director travel arrangement (including visa application, itineraries, booking and arranging for transport accommodation).
3. Act as the point of contact between the Director and people from both inside and outside the organization.
4. Screening phone calls, emails of Directors.
5. Meeting and greeting visitors at all levels of seniority.
6. Handling requests and queries appropriately.
7. Organizing and attend meetings with the Director and to ensure the Director is well-prepared for meetings.
8. Taking notes and recording minutes of a meeting.
9. Reminding Director of important tasks.
10. Conducting background research and preparing briefing papers, reports, and presentations when required.
11. Creating and handling in-office systems, such as filling and other methods of data management.
12. Coordinating events and speaking engagements.
13. Prepare correspondence such as emails and letters. Review and translate documents.
14. Managing Director\xe2\x80\x99s personal affairs including household matters.
15. Carrying out specific projects or tasks as instructed by the Director.
16. Monitor the drivers and bodyguards.

Requirements:
1. Diploma or Bachelor\'s Degree in Business Administration, Economic, Legal or other related disciplines.
2. Minimum of 1 year of working experience in the related field is required for this position.
3. Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
4. Excellent communication skills both verbal and written in English, Bahasa Malaysia and
5. Mandarin as the role require to liaise with Mandarin speaking stakeholders as well.
6. Good communication and interpersonal skill with strong integrity
7. Self-directed and able to work with minimum supervision
8. Energetic and eager to tackle new projects and ideas
9. Eager to learn and work with various departments in the company.
10. Ability to multitask, well-developed time management skills
11. Cope well under pressure, strive for commitment to excellence and a team player.
12. Possess a car and willing to travel for out of office meetings and job assignments.
