-Executive Support- \xe2\x80\xa2 Completes a broad variety of administrative tasks for the Partner including managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. \xe2\x80\xa2 Plans, coordinates and ensures the Partner\'s schedule is followed and respected. Provides "gatekeeper" and "gateway" roles, creating win-win situations for direct access to the Partner\'s time and office. \xe2\x80\xa2 Communicates directly, and on behalf of the Partner, with HOD members, clients, foundation, staff, and others, on matters related to Partner\'s programmatic initiatives. Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Partner, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. \xe2\x80\xa2 Provides a bridge for smooth communication between the Partners Office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. \xe2\x80\xa2 Works closely and effectively with the Partner to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment and keeping the Partner updated. \xe2\x80\xa2 Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the Partner, some of which may have organizational impact. \xe2\x80\xa2 Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Partner\'s ability to effectively lead the company. \xe2\x80\xa2 Prioritizes conflicting needs; handles matters expeditiously, and proactively, and follows- through on projects to successful completion, often with deadline pressures. -HOD/Partner Support and Liaison- \xe2\x80\xa2 Serves as the Partner\'s administrative liaison on his appointment as any member of a board of directors/trustees of any entity. \xe2\x80\xa2 Maintains discretion and confidentiality in relationships with all HOD members. \xe2\x80\xa2 Adhere to compliance with applicable rules and regulations set in bylaws regarding board and HOD committee matters, including advance distribution of materials before Meetings in electronic/paper format. -Communications, Partnerships, and Outreach- \xe2\x80\xa2 Ensures that the Partner\'s biodata is kept updated and responds to request for materials regarding the Partner and the organization in general. \xe2\x80\xa2 Prepares edits and completes first drafts of written communications to internal and external stakeholders. \xe2\x80\xa2 Follows up on contacts made by the Partner and supports the cultivation of ongoing relationships. \xe2\x80\xa2 Prepares, edits, and creates letters for the Partner. -Other responsibilities- \xe2\x80\xa2 Special projects \xe2\x80\xa2 Others as and when required -Essential qualifications and skills:- \xe2\x80\xa2 Candidate must possess at least Bachelor\'s Degree/Post Graduate Diploma/Professional Degree in Business Studies/Administration/Management/Finance/Accountancy/Banking, Secretarial or equivalent. \xe2\x80\xa2 Required language(s): Bahasa Malaysia, English. \xe2\x80\xa2 At least 3 year(s) of working experience in the related field is required for this position. \xe2\x80\xa2 Proficient with Microsoft Office packages such as Word, Excel & PowerPoint. \xe2\x80\xa2 Ability to work independently, multi-task and meet deadlines. \xe2\x80\xa2 Presentable, efficient, self-motivated, organised and good communicator.
