We are seeking a highly motivated and organized individual to join our team as the Personal Assistant to the Pro Vice-Chancellor. The successful candidate will provide administrative support to the Pro Vice-Chancellor, ensuring that daily tasks and projects are executed efficiently and effectively. The role requires an individual who is proactive, able to work independently, and has excellent communication and interpersonal skills.\xef\xbb\xbf

Key Responsibilities:

  • Provide administrative support to the Pro Vice-Chancellor, including scheduling, email and phone management, and preparation of correspondence and reports.
  • \xef\xbb\xbfAssist with the coordination of meetings, events, and presentations, including taking minutes and preparing agendas.
  • \xef\xbb\xbfAct as the liaison between the Pro Vice-Chancellor and internal and external stakeholders, handling confidential and sensitive information with discretion.
  • \xef\xbb\xbfConduct research, compile data and prepare reports and presentations as needed.
  • \xef\xbb\xbfMaintain accurate records and files, ensuring that information is easily accessible and up-to-date.
  • \xef\xbb\xbfProvide support for the Pro Vice-Chancellor\xe2\x80\x99s travel arrangements, including scheduling and itinerary preparation.
  • Performing other duties as assigned by the Pro Vice-Chancellor.
Selection Criteria:\xef\xbb\xbf\xef\xbb\xbf
  • \xef\xbb\xbfA bachelor\'s degree in business administration, executive assistance or related field.
  • Minimum of 5 years of experience as an executive assistant or in a similar role.
  • \xef\xbb\xbf\xef\xbb\xbfAdvanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to maintain \xef\xbb\xbf\xef\xbb\xbfconfidentiality and handle sensitive information with discretion.
  • Ability to work independently and as part of a team.
  • Positive, professional demeanor and strong work ethic.\xef\xbb\xbf
