The Project Administrator provides administrative and documentation support to the Project Team. This role focuses on project records, document control, coordination support, and administrative tracking, ensuring that all project documents, submissions, and internal records are properly maintained and updated to support smooth project execution.
This position works closely with Project Coordinators, Engineers, and Operations teams, but does not independently manage projects.
Key Responsibilities
1. Project Administration & Documentation
Prepare, organise, and maintain project documentation including quotations, purchase orders, delivery orders, work orders, reports, drawings, and correspondence.
Assist Project Coordinators in compiling technical and progress documentation for internal and client submissions.
Maintain accurate project filing systems (softcopy and hardcopy).
Ensure documents are updated, version-controlled, and properly archived.
2. Project Support & Coordination Assistance
Support Project Coordinators with administrative follow-ups (submission deadlines, approvals, confirmations).
Track basic project information such as dates, milestones, and document status.
Assist in preparing simple progress summaries and internal reports.
Coordinate with internal departments (Finance, Operations, Technical) for document-related matters.
3. Communication & Liaison
Assist in handling email correspondence related to project documentation and administration.
Communicate with vendors, suppliers, or clients on administrative matters only, when required.
Schedule meetings, site visits, or internal discussions as instructed.
4. General Administrative Support
Support day-to-day administrative tasks related to project execution.
Assist in preparing forms, checklists, and internal templates.
Perform other administrative duties as assigned to support project delivery.
Requirements
Minimum Diploma or equivalent qualification in Business Administration, Project Management, Engineering Support, or related fields
Minimum 1 year of working experience in an administrative or project support role
Exposure to project documentation or technical projects is an advantage (construction, engineering, instrumentation, or environmental projects)
Skills & Competencies
Good organisational and documentation skills
Proficient in Microsoft Word, Excel, and basic reporting tools
Able to manage multiple documents and deadlines accurately
Basic understanding of project workflows (training provided)
Good communication and follow-up skills
Detail-oriented, disciplined, and reliable
Organised, methodical, and comfortable handling documentation
Willing to learn project workflows and technical terminology
Able to support multiple ongoing projects simultaneously
Comfortable working in a structured SME environment
Job Type: Full-time
Pay: RM1,700.00 - RM2,500.00 per month
