Job Description

Draft, edit, and finalize project documents, including proposals, contracts, change orders, and progress reports. Ensure all documents are accurately prepared and delivered to relevant parties in a timely manner. Maintain a well-organized digital and physical filing system for all project-related documents, ensuring easy retrieval and archiving. Schedule, organize, and prepare agendas for project meetings. Take detailed minutes, distribute them promptly, and follow up on action items. Assist in creating and maintaining detailed project schedules. Monitor timelines and milestones, alerting the Project Manager of any potential delays or issues. Liaise with suppliers, vendors, and subcontractors to coordinate deliveries, services, and on-site work. Ensure all parties adhere to the project timeline and quality standards. Serve as a primary point of contact for clients, architects, designers, and other stakeholders. Communicate project updates, address inquiries, and ensure client expectations are managed and met. Facilitate effective communication within the project team, ensuring everyone is informed about project developments, deadlines, and responsibilities. Prepare regular project status reports for internal and external stakeholders. Highlight progress, challenges, and upcoming tasks in these reports. Assist the Project Manager in tracking project expenses, including labor, materials, and equipment. Ensure that all costs are documented and stay within the project budget. Assist in managing change orders by documenting changes, obtaining necessary approvals, and communicating updates to the project team and contractors. Maintain records of quality control checks and site inspections. Document any issues identified and track their resolution. Support the Project Manager in ensuring that all work adheres to relevant industry standards, codes, and client specifications. Accompany the Project Manager on site visits to monitor progress, address issues, and ensure compliance with project specifications. Keep detailed records of all project expenses. Assist in preparing budget reports and forecasts. Coordinate with the finance department to ensure timely processing of invoices and payments to vendors and subcontractors. Use project management software (e.g., Microsoft Project, Procore, or similar) to track project progress, schedule tasks, and manage resources. Ensure all project data is kept up-to-date and accurate. Provide technical support in interpreting design drawings, specifications, and other technical documents. Assist in resolving technical issues on-site. Gather client feedback throughout the project and post-completion. Address any concerns promptly and work with the project team to resolve issues. Assist in conducting post-project reviews to identify lessons learned and opportunities for improvement in future projects.

Pay: RM4,000.00 - RM7,000.00 per month
