Role Summary
The Purchasing Executive is responsible for sourcing, negotiating, and procuring raw materials, equipment, packaging, and supplies required for daily kitchen operations and catering events. This role ensures cost-effectiveness, consistent quality, and timely delivery to support production efficiency and event demands.
Key Responsibilities
1. Procurement & Sourcing
Source and purchase raw ingredients (meat, vegetables, dry goods), packaging materials, kitchen equipment, and operational supplies.
Evaluate and select suppliers based on price, quality, reliability, and delivery performance.
Request and compare quotations to ensure competitive pricing.
Maintain and update the approved supplier list.
2. Supplier Management & Negotiation
Negotiate pricing, payment terms, bulk purchase deals, and contracts with suppliers.
Build and maintain strong relationships with key suppliers to ensure consistent supply.
Address supplier issues such as late delivery, quality defects, or shortages.
3. Order Management
Prepare and issue Purchase Orders (PO) according to kitchen and operations requirements.
Coordinate with suppliers to ensure accurate and timely delivery of goods.
Track order status, resolve delivery discrepancies, and verify received items with the store/kitchen team.
4. Cost Control & Documentation
Monitor purchasing budget, price trends, and cost-saving opportunities.
Maintain accurate records of purchases, contracts, and supplier documentation.
Work closely with the Accounts Department for invoice verification before payment.
5. Cross-Department Coordination
Coordinate with Kitchen, Store, Operations, and Event teams to understand daily and event-based requirements.
Ensure availability of ingredients and materials for large-scale catering events and last-minute orders.
Support stock replenishment based on inventory levels and production forecasts.
Requirements
Diploma/Degree in Procurement, Supply Chain, Business Administration, or related field.
Minimum 1-2 years of experience in purchasing; experience in F&B or catering industry is an advantage.
Strong negotiation, communication, and organizational skills.
Able to work in a fast-paced, event-driven environment.
Familiar with basic procurement systems and Microsoft Excel.
Detail-oriented, responsible, and able to multitask.
Additional Advantages
Knowledge of raw material specifications (vegetables, seafood, meat, dry goods).
Familiarity with HALAL sourcing and F&B hygiene standards.
