Real Estate Administrative Executive / Assistant



We are looking for an organized real estate assistant to support our real estate team. The real estate assistant's responsibilities include telephone duties, preparing and distributing marketing materials, documentation, and reports.

Job Scope:



Administrative Duties:



Answer and direct incoming calls in a professional and courteous manner, taking messages, scheduling appointments, and providing information to clients as needed. Prepare, organize, and maintain various documents, contracts, and reports, ensuring all paperwork is accurate, complete, and filed appropriately. Input and update client information, property listings, and other relevant data into the system.

Marketing Support:



Assist in the preparation and distribution of marketing materials such as portal postings, brochures, flyers, and promotional items, ensuring timely and accurate delivery of materials. Support the creation and management of social media content and marketing campaigns.

Office Organization:



Implement and improve organizational systems to enhance efficiency. Assist in scheduling appointments, property viewings, and meetings for the real estate team, managing calendars to avoid scheduling conflicts.

Customer Relationship Management (CRM):



Maintain and update customer information in the CRM system to ensure data accuracy and completeness. Handle customer inquiries, feedback, and complaints via email, phone, and WhatsApp, ensuring timely and professional responses. Assist in creating and sending email marketing campaigns using tools like Mailchimp, and track and report on campaign performance. Implement follow-up strategies to nurture leads and maintain customer relationships, scheduling and tracking follow-up communications.

Communication:



Act as a liaison between clients, agents, and other team members, handling correspondence and emails in a professional manner.

Requirements:



Proven experience as an administrative assistant or in a similar role. Strong organizational and multitasking skills. Excellent verbal and written communication skills. Proficient in Microsoft Office Suite (Word, Excel, Outlook). Familiarity with real estate processes and terminology is a plus. Ability to maintain confidentiality and handle sensitive information. Positive attitude and willingness to learn.
