\xe2\x80\xa2 Receive, direct, relay all incoming calls and enquiries in a professional manner and take adequate messages when required; \xe2\x80\xa2 Assist in making outstation calls in a friendly and professional manner; \xe2\x80\xa2 Greet, assist and provides assistance to guests and the general public in an effective manner. Inform respective personnel/department on the arrival of their guests/visitors/ suppliers; \xe2\x80\xa2 Ensure incoming calls is answered within three rings; \xe2\x80\xa2 Make general announcement via the PA system as and when required; \xe2\x80\xa2 Sort all incoming and outgoing mails/faxes/parcels effectively and date stamp all general correspondence; \xe2\x80\xa2 Deal with courier services company, responsible for all incoming and outgoing courier documents/parcels; Monitoring necessary record for shipment/s tracking & invoicing/billing purpose; \xe2\x80\xa2 Ensure all courier dockets are sufficient at all times; \xe2\x80\xa2 Check and verify courier services company invoice are accurate and have it process on time; \xe2\x80\xa2 Check/verify invoice received from suppliers and send it to respective department; \xe2\x80\xa2 Monitor of supplier\xe2\x80\x99s cheque collection; \xe2\x80\xa2 Ensure company\xe2\x80\x99s extension list and employee\xe2\x80\x99s vehicle registration are upkeep up to date; \xe2\x80\xa2 Ensure meeting room and other arrangements are in order; \xe2\x80\xa2 Maintain the cleanliness and tidiness of the reception area; Ensure newspapers/magazines in the waiting area and parcels/documents at reception area are neatly display; \xe2\x80\xa2 Responsible for providing clerical and administrative support and maintain the general filing system and file all correspondence; \xe2\x80\xa2 To comply with working procedures as per stated in Admin Manual - Working Procedures for Receptionist cum HR Clerk; \xe2\x80\xa2 Perform ad-hoc duty from time to time as and when required.
