KEY ACCOUNTABILITIES:

  • Act as Personal Assistant to General Manager for Corporate Communication in managing all administrative affairs of the department.
  • Enhance GM\'s effectiveness by providing information management support through scanning through documents and other request.
  • Act as first line of contact for GM in welcoming guests, answering or directing inquiries and routing correspondences.
  • Maintains GM\'s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Manage confidential information and assist GM in the control of access to sensitive information.
  • Prepare, compile and monitor GM office & Corporate Communication budget.
  • Format information and draft document for internal and external communications inclusive of letters, memos, meeting minutes, emails, presentations and reports.
  • Liaising with Hotels and Travel Agent on accommodation and flight booking for GM, Corporate Communication.
  • Liaising with Transport Division on transportation matters for Corporate Communication.
  • Manage the processing of external visitors - Liaising with Security Guard on Visitor\'s Pass and relevant personnel.
  • Manage documents/tender quotations/filing for Corporate Communication.
  • Manage the inventory and purchasing of stationeries, office materials for Corporate Communication office as and when necessary.
  • Prepare Travelling Claims for GM Corporate Communication through SAP Concur.
  • To ensure proper filing for all documents in Comm\'s office and easy access for future reference.
  • To process PO and related payments for Corporate Communication.
  • To ensure that all official correspondences sent by various Sr. Managers/Managers are perused by GM.
  • Organising committee member in the planning and organising of departmental functions and events. (Example Weekly/Monthly Meeting).
  • 5S Committee Member in delivering 5S practice and activities.
QUALIFICATION & WORK EXPERIENCE:
  • Diploma with minimum 2 years relevant experience.
  • Fresh graduate or experienced staff meeting the qualifications and skills requirement.
THINKING ENVIRONMENT & CHALLENGES:
  • To perform all tasks in line with the Information Security Quality Manual (ISQM) and the ISMS roles and responsibilities procedure.
  • To perform all tasks in line with the Information Governance Policy Suite and Guidelines.
Preference will be given to internal candidate.
