Role Description This is a full-time on-site role in Putrajaya for a Secretary to GEC. As Secretary to GEC, you will provide administrative support to the Group Executive Chairman by scheduling appointments, managing correspondence, and coordinating meetings. You will be responsible for ensuring the smooth functioning of the secretariat office by maintaining proper filing and record-keeping systems, creating reports, and managing documents. You will be the primary point of contact for all incoming communication, so strong communication and interpersonal skills are crucial. a) Assist in managing all administrative affairs of the Group Executive Chairman\'s Office. b) Acting as an intermediary between the Group Executive Chairman\'s Office and group officers and control agencies; c) Assist in coordinating meeting notes involving the Group Executive Chairman. d) Assist in coordinating and preparing feedback papers / notes and answers to meeting questions / memos involving subsidiaries and departments under the Group Executive Chairman. e) Helping to manage the correspondence of the Group Executive Chairman\'s Office. f) Assist in coordinating courtesy visits of distinguished guests with the Group Executive Chairman\'s Office. g) Serving the public who deal with the Group Executive Chairman\'s Office h) Assist in preparing the text of the Group Executive Chairman\'s speech and briefing notes. i) Assist in coordinating press conference sessions, interviews, messages and recording of Group Executive Chairman events that involve the mass media / journalists/reporters; j) Assist in coordinating visits and briefings (transportation and accommodation) involving the Group Executive Chairman. k) Help coordinate the meetings, discussions and appointments of the Group Executive Chairman. l) Help manage and monitor the daily planning (daily schedule) of the Group Executive Chairman. m) Other duties as directed by the Group Executive Chairman from time to time. Qualifications Bachelor\'s degree in Business Administration, Management, Secretarial or a relevant field 3+ years of experience as a secretary or administrative assistant Excellent communication and interpersonal skills Strong organizational and time-management abilities Proficient in MS Office and other relevant software Demonstrated ability to maintain confidentiality, prioritize tasks, and work independently Familiarity with corporate governance concepts is a plus Fluency in written and spoken English and Malay is required; fluency in other languages is a plus
