Job Description


Role Responsibilities

  • To process / support multiple Wealth operational activities / products; ensure authorized instruction are processed in accordance with established regulatory, credit and lending guidelines and policies to safeguard the Bank\xe2\x80\x99s interest.
  • To meet the performance objectives set by the Group, Company & Department through: -
  • Consistent high-quality performance in work with emphasis on accuracy, TAT & productivity
  • Consistent high-quality service to customer (Internal & external).
Unit Trust Settlement

Ensure all manual orders for Unit Trust / Regular Savings Plan / Wealth Accumulators are processed accurately before the fund house cut time.

Ensure all manual account openings are done accurately and promptly

Perform end-of-day trade aggregation and ensures the orders are faxed before the fund house cut time

Ensure the Client Order Listing is sent to the Spoke country daily

Ensure that all trades are settled with the Fund Houses/ Vestima by the settlement date

Ensure the trade details are confirmed in the processing system accurately and within the stipulated SLA

Ensure to review the list of outstanding items daily and follow-up with the fund houses on non-receipt of the trade confirmation or discrepancy on the trade confirmation against the placed orders.

Ensure to notify Wealth Lending Operations in a promptly manner on Unit Trust redemption with Lien

Ensure all redemption proceeds are paid in accordance with customer instruction

Ensure that all payments for redemption proceeds are paid one day after the proceeds are identified and reconciled.

Ensure all the remittance instruction are prepared accurately

Ensure to review the list of outstanding items daily and ensure to follow-up with fund houses on non-receipt of redemption proceeds

Ensure any manual advices, if any, are generated are in good order.

Ensure all static data setup and maintenance instructions are completed accurately within the stipulated SLA.

Ensure to follow-up with fund houses promptly on all outstanding commission due

Ensure the breakdown of trailer commission is done correctly and allocated correctly among the Spoke countries

Ensure to follow-up with fund houses on any non-receipt of portfolio statement or statement of holdings

Ensure all outstanding reconciliation breaks in the Suspense / Sundry / MISC account / unit holdings are investigated in a timely manner and rectified quickly or escalated accordingly if break continues to be open.

Ensure that emails / enquiries are replied promptly, and the generic mailbox is managed responsibly.

Organize and handle the daily schedule and ad-hoc projects of the department or as instructed by the HOD/management.

Ensure comply with company policies and procedures, as well as guidelines stated by the regulatory authorities.

Corporate Action for Unit Trust / Bond / Structured Notes & Reconciliation

Ensure that all non voluntary corporate action announcements are communicated to the Product Manager promptly

Ensure all replies received for the non voluntary corporate action announcement are consolidated and sent to Securities Services / Fund Houses by the deadline.

Ensure that all payments for redemption/ maturity / periodic payout for all investment products are identified, distributed on a timely manner and reconciled

Ensure to follow-up with Securities Services / Fund Houses promptly on non-receipt of funds

Ensure to notify Wealth Lending Operations promptly on maturity of Unit Trust / Structured Notes / Bonds with Lien

Ensure to resolve any dispute / claim as a result of corporate action in a timely manner

Ensure the corporate action details are processed in the processing system accurately and within the stipulated SLA.

Ensure all settlement instructions are sent to HK WMO before the settlement date for shares delivery as a result of Structured Notes maturity or other Corporate Action

Ensure all manual advices are generated in good order and within the stipulated SLA.

Ensure all outstanding reconciliation breaks in the Suspense / Sundry / MISC account / unit holdings are investigated in a timely manner and rectified quickly or escalated accordingly if break continues to be open.

Ensure that emails / enquiries are replied promptly, and the generic mailbox is managed responsibly.

Ensure Timely resolution of customer queries & complaints

Being client centric understands customers requirements, able to apply them and guide other team members

Consistently exceed productivity, accuracy and timeliness norms

Identifies and shares best practices within your scope of work with LM/Unit Manager with a view to implementing standardized, simplified and automated processes\xe2\x80\x94minimizing non value -added and duplicated activities, reducing TAT, maximizing paperless processing & deskilling of activities.

Identify and suggest process improvement through automation, STP and Digitization or cost reduction solutions.

Cross skill self across in at least two different elements and product areas

Utilize all training opportunities available

Maintaining smooth interaction and TAT\xe2\x80\x99s effectively for all activities.

Ensure updation of all registers, trackers & MIS on a daily basis.

With Ownership look for end to end resolution of Issues being encountered.

Ensure to have sufficient process knowledge to independently perform operations and must demonstrate proficiency by successfully performing this activity.

Risk Management

Adhere to laid out processed and procedures while completing process actions.

Ensure no surprise culture : no failed Audit and to achieve at least satisfactory rating in all groups / external / internal audit / service quality audits.

Comply with Group Money Laundering Prevention Policy and CDD Policies/ Procedure to the extent applicable and reporting al suspicious Transactions to the Line Manager.

Ensure adherence of BCSBI, Compensation Policy and any other Group company policy.

Inculcate the practice of doing Right the First Time (FTR).

Ensure appropriate and adequate documentation is in place for process actions.

Governance

To support the operations in meeting its obligations on the prevention of money laundering under the Group\xe2\x80\x99s Policies and Standards, and, under local laws and regulations

QUALIFICATIONS

TRAINING, LICENSES, MEMBERSHIPS AND CERTIFICATIONS

Bachelor degree in Banking or Finance preferred

Ideally experience in banking or another relevant environment

Languages: English and/or local language skills as relevant to country requirements
