Job Description


Faculty/Department: Group Human Resource

Responsibilities

  • Handle the whole process of getting the different passes, permits, licenses in related to the nature of the group business; this includes MoHE submissions and approvals, the expatriates\' employment pass and their dependent pass application and renewal, Social Visit Pass for Internship, Professional Visit Pass for Visiting Professor (if required) and etc.
  • You shall prepare the human resource related letters such as Provisional of Expatiate Contract Renewal, Renewal of Fixed Term Employment Expatiate Contract. Prepare the career progression for expat salary adjustment (if any).
  • You will be responsible for and managing foreign worker passes in accordance with Malaysian Immigration legislation, procedures including the purchase FOMEMA, SPIKPA Insurance Insurance Guarantee, and managing the foreign worker pass application process.
  • You shall assist to apply the Permits to Study for Expatriate or Student passes for all expatriate\'s children (if any).
  • You will be the UCSI Liaison with Immigration Dept. and keep up to date with changes in legislation and policies and to share those info to the recruitment team.
  • Managing the ESD/ MYEG/ EPLKS system for the company.
  • You shall verify and keep a record of leave passage/flight reimbursement claims.
  • You shall assist in arrange the UCSI Hostel/ Hotel accommodation and driver for those first joined UCSI (new expatriate).
  • To assist any other matters as assigned by the top management.
  • You shall assist in handling any documents required related to expatriate for MQA visits.
  • You shall carry out front desk duties in the absence of the receptionist, as and when necessary.

HR Related Letters and HR Administrative Activities
  • Ensure all the renewal contract letters are given to staff, returned and filed in a timely manner.
  • You must keep the payroll team up to date on the renewed expatriate\'s visa and status every month.
  • Perform day-to-day administrative tasks such as maintaining information files and processing paperwork. Maintains historical human resource records by designing a filing and retrieval system; keeping past and current records.
  • Maintain professional and technical knowledge by attending workshops, establishing personal networks and participating in seminars and trainings.
  • Contribute to team effort by accomplishing related results as needed.
Requirements
  • Diploma and/or Degree in Human Resource Management, Business Studies/Administration or equivalent.
  • Minimum 3 - 5 years working experience.
  • Excellent communication skills.
  • Pro-active and self-motivated, with the ability to work independently as well as participate within the team.
  • Able to work under pressure and meet deadlines, possess a mature attitude and a good team player.
  • Strong communication, presentation and interpersonal skills and abilities.
