Update current and design new recruiting procedures (e.g. job application and on boarding processes)
2. On-Boarding
Creating ID and email for new employee.
Email department or team of the new employee.
Arrange business cards and name tag.
Arrange office access card for new employee and hand phone if necessary.
Add new employee to relevant email list.
3. Human Resource Matter
Update staff information from time-to-time
Keeping a track of the attendance of the employee.
Filing the leave forms and keeping a track of the leaves taken.
Verifying outlet commission, OT and claims.
Prepare accurate payroll and distribute payslip to the staff.
Prepare monthly statutory contributions and arrange for payment to be made accordingly.
Prepare HR related letter, memo, notice and other documents.
Update Personal Assurance and hospitalization insurance if there is any new joiner or resigned staff.
Renew foreign worker\xe2\x80\x99s permit, passport and contract.
Perform any other expressed or implied duties as and when required by the manager.
4. Administrative Work
Act as the point of contact between the HQ and outlets.
Handle office and outlets requests and queries appropriately.
Make travel arrangements by assisting to book flight and hotel.
Monitor and deal with office supplies (eg : fire extinguisher, pest control, stationery).
Develop and carry out an efficient documentation and filing system.
Provide general administrative and clerical support including mailing, scanning, faxing and copying.
Apply and renew all relevant license and utilities.
Respond to incoming calls.
Monitoring staff redemption.
Renewal of office insurance.
Maintains office supplies inventory by checking stock to determine inventory level. Eg : stationery.
5. System and Software
System maintenance on sales and outlet inventory related matters.
Liaise and coordinate with software provided (Outlook).
REQUIREMENTS:-
Candidate must possess at least a Diploma or Bachelor\'s Degree in Human Resource Management, Business Studies / Administration/Management, Psychology or equivalent.
At least 3 to 5 years of experience in Human Resource.
Familiar with HR2000 system and can start immediately would be an added advantage.
Required skill(s): Microsoft Office (Word, Excel & Power Point).
