Plan, book, and coordinate air freight shipments for live fish
Liaise via phone and email with airlines, freight forwarders
Schedule shipments meticulously to meet airline cut-off times and coordinate with the warehouse team for handover.
Track shipments in real-time and proactively manage any delays or issues.
2. Documentation & Regulatory Compliance:
Prepare, verify, and process all essential shipping documents with 100% accuracy from the office, including:
Air Waybills (AWB)
Commercial Invoices & Packing Lists
Certificates of Origin
Health Certificates/CITES Permits
Import/Export Declarations
Maintain an up-to-date knowledge of international shipping regulations
Serve as the primary office contact for freight and regulatory agencies
3. Customer & Internal Communication:
Act as the main point of contact for customers regarding their orders, providing tracking details, documentation, and ETAs.
Communicate specific client requirements and shipping schedules clearly to the internal warehouse and packing teams.
Handle and resolve any customer inquiries or issues related to shipping professionally and efficiently.
4. Data Management & Record Keeping:
Maintain accurate and organized digital records of all shipments, costs, and customer documentation.
Use Autocount software to update order statuses and logistics information.
Prepare regular reports on shipping performance, costs, and any incidents.
Required Qualifications & Skills
Experience:
Minimum of 1 year of experience in an office-based shipping, logistics, export-import, or customer service role.
Education:
Diploma or Bachelor's degree in Logistics or Fishery related is preferred.
Attention to Detail:
Exceptional accuracy is critical for preparing error-free documentation and ensuring regulatory compliance.
Organizational Skills:
Superior ability to multitask, prioritize, and manage multiple shipments under tight deadlines in an office environment.
Communication Skills:
Excellent professional verbal and written communication skills. Ability to liaise effectively with clients, airlines, and internal teams.
Problem-Solving:
A proactive mindset to anticipate and resolve issues related to flight delays, documentation, or customs.
Technical Proficiency:
Advanced skills in Microsoft Office
Preferred Qualifications
Formal knowledge or training in IATA Live Animal Regulations (LAR).
Understanding of the ornamental fish industry and the specific needs of live aquatic organisms during transport with respect to documentation.
