Payment in Ariba Track and process vendor payment and ensure timely and accurate payment Ensure employee data is not mentioned in the invoice for confidentiality. Preparation of monthly accruals for TA, HRBP and Learning team Visa Applications To work with the Talent Acquisition Specialist and Permit Pro on the timely submission of visa applications. Preparation of MYFUTUREJOBS submission applications Payroll related onboarding tasks Send email reminders to new joiners on the completion of onboarding tasks in WD in line with payroll timeline. Collect EPF, SOCSO and Tax Residential status for new joiners who are Non-Malaysians. Provide Tax, EPF and SOCSO registration forms and instructions for foreign hires for registration with statutory bodies. Handle basic inquiries from new joiners with regards to benefits/payroll related items Vendor Contracts Preparation of contracts for new vendors Ensuring vendor contracts are complete and kept in the shared drive Learning Administration Assist in coordination of all training programs, both virtual and face-to-face Execute learning tasks in Workday Learning - create courses, manage enrolments, send meeting invitations to participants, mark attendance, capture learning hours Manage Training Room 1,2 and 3 - manage booking requests and coordinate room set up with Facilities team Manage distribution of new joiner materials (AIA t-shirt, mug, etc) Respond to case assignments on L&D related queries Human Resource Development Corporation fund (HRDC) Execute end-to-end HRDC process via HRDC\'s e-tris system Apply training grants and claims for eligible courses Manage the Box system and submission of confidential HRDC documentation with vendors Job Requirements : Education Candidates must possess at least a Professional Certificate / Diploma / Professional Degree or equivalent. Experience Minimum 3-5 years working experience in related field is required Practical Skills/Abilities: Proficiency in English Able to write clearly and concisely and work within tight deadlines Possess personal attributes such as maturity, interpersonal skills, professional integrity and initiative Good planning, organizing, excellent communication skills, good follow up and coordination skills Well versed in Microsoft Office applications (Excel, Word, PowerPoint)
