1. Accurately and promptly update data in company's ERP system.
2. Create, process, and manage Job Requests (JRs) for various workshop tasks, including Pre-Delivery Inspections (PDI), off-rental machine checks, customer repairs, and internal maintenance, as initiated by the Sales and Logistics departments.
3. Generate and issue Purchase Requisitions (PRs) for necessary spare parts, tools, and workshop consumables, ensuring proper authorization and follow-up with the Purchasing department to track order status.
4. Maintain organized digital and physical records of all job cards, service reports, delivery orders, and related workshop documentation. Assist in preparing service quotations and generating reports on workshop productivity and job progress as required.
5. Assist the Workshop Manager/Assistant Manager in coordinating the daily workflow, ensuring that jobs are assigned to mechanics based on priority and that machinery moves efficiently through the service process from entry to exit.
6. Actively monitor the progress of ongoing jobs in the workshop. Liaise with mechanics and technicians to get status updates and escalate any delays, technical issues, or resource shortages to the Workshop Manager.
7. Oversee the workshop's spare parts inventory. Monitor stock levels, ensure parts are correctly issued to jobs, and assist with periodic stock-taking to maintain inventory accuracy.
8. Manage the workshop's tool inventory, including implementing and maintaining a check-in/check-out system. Ensure tools are in good working condition and report any damages or losses for repair or replacement.
9. Uphold and promote high standards of workshop cleanliness .Ensure that all personnel adhere to company safety protocols and procedures to maintain a safe working environment.
10. Act as the primary administrative point of contact between the workshop floor, management, sales team, and logistics department.
11. Communicate job status updates, parts availability, and completion timelines to the relevant internal stakeholders.
12. Facilitate the smooth flow of information to prevent operational bottlenecks.
13. Any other ad-hoc task as requested by the management.
JOB REQUIREMENTS
:
1. Possess a Higher Secondary (SPM/STPM), Certificate, or Diploma.
2. Good written and verbal communication skills in English, Bahasa Malaysia, and Mandarin.
3. Proven experience in an administrative or coordination role, preferably in a workshop, automotive, or heavy machinery environment.
4. Strong proficiency and hands-on experience with ERP systems is highly desirable.
5. Basic computer skills, including Microsoft Office Suite (Excel, Word).
6. High attention to detail and a commitment to data accuracy.
7. Strong organizational and time-management skills, with the ability to handle multiple tasks.
8. A proactive and responsible team player.
9.Experience in managing foreign worker is an added advantage.
