Admin Coordinator

Job Description

1. Responsible and accountable for end-to-end coordination and control of PR, TR, SRN, e-Claim, and e-Timesheet processes, ensuring accuracy, timeliness, and compliance with financial controls.

2. Monitor transaction status, identify delays or issues, and highlight risks or improvement opportunities to HODs or Managers.

3. Coordinate and manage Customer Satisfaction Survey (CSS) activities, including distribution, follow-up, consolidation of feedback, and preparation of summary information for management review.

4. Act as a coordination focal point for customer-related administrative and documentation matters to support service delivery and customer satisfaction.

5. Own and govern departmental and project documentation including MoM, action tracking, project records, FAT documentation, training records, and department activity files, ensuring completeness and audit readiness.

6. Coordinate and support departmental activities such as FAT, training programs, management meetings, and internal or external engagements, including planning, documentation, and follow-up.

7. Support HODs and Managers in monitoring, updating, and reporting Balanced Scorecard (BSC) elements related to internal process performance, customer satisfaction, and operational effectiveness.

8. Identify gaps, risks, or inefficiencies in administrative and coordination processes and propose improvements to enhance effectiveness and compliance.

9. Act as a key coordination point between the department and internal support functions to ensure smooth operational flow.

10. Continuously enhance knowledge of systems, governance requirements, and best practices to support higher accountability, process improvement, and readiness for broader coordination or supervisory responsibilities.

11. Assume responsibility of other relevant tasks as assigned from time to time.

Job Type: Full-time

Pay: RM2,800.00 - RM4,000.00 per month
