The Admin Executive supports the Procurement & Logistics Senior Executive in managing all tasks related to import permits for pharmaceutical products and medical devices. This includes maintaining original permits, tracking balance quantities and expiry dates, coordinating permit applications and renewals with customers, liaising with NPRA, and supporting inbound logistics documentation. The role also provides general administrative support to ensure smooth procurement and logistics operations.
DUTIES & RESPONSIBILITIES:
1. Import Permit Management
Safekeep and manage original import permits from all customers.
Maintain accurate, up-to-date records of permit balance quantity, validity, and usage status.
Track permit expiry dates and initiate follow-ups where renewal is required.
Return fully used or expired permits to NPRA or the respective hospitals.
Maintain a good working relationship with NPRA and share relevant updates or trends on permit approval with the company.
2. Daily Sales Order Review & Permit Utilisation
Check new sales orders daily in the system and update permit availability status.
Flag issues such as:
- No available permit.
- Insufficient balance quantity.
- Permit expiry too close for inbound shipment.
Liaise with customers to initiate permit applications or renewals when required.
Support new customers in preparing and submitting import permit applications.
Coordinate with the Senior Executive on permit availability for buffer stock planning.
3. Logistics Documentation & Permit Handling
Release original import permits to transporters for inbound shipment processing.
Track and ensure the timely return of permits from transporters.
Ensure all permits used for inbound shipments are accurate, valid, and compliant.
4. Supplier & Internal Team Coordination
Work closely with the Procurement & Logistics Senior Executive on permit planning related to upcoming purchases.
Support communication with CS, Warehouse, RAQA, and Sourcing teams on permit-related matters.
Share NPRA insights or regulatory news with the team.
5. Administrative Support
Perform general administrative duties to support the procurement and logistics operations.
Ensure accurate filing, document control, and record maintenance.
Assist with any additional tasks assigned by the Senior Executive or Manager.
QUALIFICATIONS/REQUIREMENT:
Possess a minimum SPM/STPM/Diploma qualification or any relevant qualifications.
Fresh graduates are encouraged to apply.
Strong attention to detail.
Good organizational skills and the ability to work efficiently in a fast-paced environment.
Ability to work well in a team and communicate effectively with supervisors and colleagues.
Based in Teraju Pharma's Warehouse at Bandar Bukit Raja, Klang.
Preference will be given to candidates who are
available to start immediately or within one week.

Pay: RM2,000.00 - RM2,200.00 per month
