We are looking for a Administrative Assistant to further strengthen our Customer Service department.
As a Administrative Assistant, you will provide a wide range of administrative activities in order to ensure a good and efficient support to the organization.
Some of your main duties & responsibilities:
Report daily and monthly sales (Malaysia Origin) on the MPOB website - SIMS system. (average 300 - 500 transactions per month)
Report all import transactions on a monthly basis on the MPOB - SIMS system
Be responsible for administrative tasks, including deployment of new laptops, replenishment of stationery and pantry items, acting as a liaison between staff and service providers for IT-related issues (server, Wi-Fi, CCTV, etc.), and tagging new office assets
Apply for work permits with Centro Management approval
Manage the renewal of all office licenses and contracts related to the Oleon AP office
Oversee the maintenance of office equipment and machinery
Coordinate with external cleaning service providers for daily cleaning operations
Apply for Schedule A (export shipment) for cargo subject to SST for tax exemption
Support the Customer Service team in applying for Certificates of Origin (MITTI & Local Chamber)
Manage order processing and preparation of shipping documents (using SAP/S4 Hana and OTM platforms)
Scan shipping documents into Open Text for the Customer Service team
Scan supplier invoices into Open Text for finance payment processing
Supervise office renovation works and liaise with contractors
You'll succeed if:
You have process at least Diploma/Bachelor's Degree in Logistics, Business Studies/ Administration/ Management or equivalent
You have good communication and coordination skills
You are proficient in Microsoft Office and SAP (added advantage)
You are able to organized, responsible, and able to work independently
You have high level of efficiency, accuracy, and responsibility
You have motivation and a strong desire to take on new challenges and learn as much as possible
Fresh graduates or candidates without prior experience in this area are welcome to apply, as training will be provided
