MAIN DUTIES & RESPONSIBILITIES:
1) Project Coordination SupportAssist the Branch Manager in coordinating project execution, specifically focusing on procurement and submission processes to the Operations team (GBS ASEAN SCM). Monitor the delivery status of equipment from vendors, ensuring timely arrival and resolving any delays or discrepancies. Track and update the Equipment Calibration and Equipment Loan records to maintain accuracy and compliance with internal requirements.

2) Data Entry and ReportingEnsure timely and accurate data entry of timesheet information into the project tracking system. Regularly update and report project progress and resource usage to the Branch Manager as required.

3) Travel Coordination and ClaimsHandle travel arrangements for department staff, including booking flights, accommodations, and transport, in accordance with company policies. Assist staff in submitting travel expense claims, ensuring accuracy and timely submission for reimbursement processing. Coordinate with the Finance department to resolve any discrepancies or delays related to travel claims.

4) Invoicing and Financial ManagementPrepare and issue invoices for services rendered, ensuring they are accurate and compliant with contractual agreements. Monitor the invoicing process, tracking payment statuses and following up with customers as necessary to ensure timely payments. Collaborate with the finance team to address any billing issues or discrepancies that may arise.

5) Other ActivitiesEnsure compliance with ISO 9001, ISO 45001, ISO 14001, and ISO 27001 standards, along with company policies and procedures. Assist in preparing and organizing the necessary paperwork for audits and reviews related to ISO compliance and project execution.
