Administration Coordinator

We have an established team of highly skilled and dedicated professionals growing our business activities by developing, constructing, and operating our renewable generation portfolio throughout the region.

About the role
We are looking for an Administrative Coordinator to join our company to perform all the fundamental administrative operations. Administrative Coordinator responsibilities include supporting regular office operations, project administration and FICO administration. Ultimately, you will provide administrative support to our staff and ensure all daily procedures run smoothly.

This position will be full time based in our office in Putrajaya.

What You Will Do

General Admin

  • Office supplies and stationary ordering/management (office supplies, first aid kits, company T-shirts, company name card and other related services).
  • Incoming mail and outgoing postage.
Liaise with customs as needed.
  • Be the main contact with the office building and service suppliers (office key access management, cleaning, parking, maintenance, water, pest control etc.)
  • Being contact person for local IT and BayWa Group IT for any issue arises in office (IT equipment ordering, arranging and company mobile phone etc)
  • Being contact person for local hotels (nearby office) and negotiate for corporate rate.
  • Organize meeting, dinners, and social events internally and with potential clients upon request.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.) and ensure the reception of visitors.
  • Receive, sort, and distribute daily mail/deliveries, arrange outsource messenger to send/ pick up documents and coordinate with courier service as required
  • Coordinate and support office activities and take parts in the arrangement of company events (e.g. Company Outing and festive event etc.)
  • Any ad-hoc as assigned by supervisor.
FiCo support
  • Prepare the booking entries, which will be reviewed by Accountant.
  • Involve in the day-to-day functions of Finance and Accounting, including expense claim submission, bookkeeping, filing, and basic reporting.
  • Any ad-hoc as assigned by supervisor.
Projects Admin
  • Project permit and license applications and renewal process
  • Hardcopy/physical file management
  • Travel and meeting arrangements
  • Manage phone calls and correspondence (e-mail, letters, packages etc.) and ensure the reception of visitors.
  • Receive, sort, and distribute daily mail/deliveries, arrange outsource messenger to send/ pick up documents and coordinate with courier service as required.
  • Any ad-hoc as assigned by supervisor.
What You Bring
  • Proven work experience as an Administrative Coordinator, Administrator or similar role.
  • Hands-on experience with MS Office Suite (particularly MS Word and MS Excel).
  • Familiarity with office equipment, like printers and fax machines.
  • Basic math skills.
  • Solid time-management abilities with the ability to prioritize tasks.
  • Excellent verbal and written communication skills.
  • Minimum high school diploma; additional qualification in Office Administration is a plus.
