Requirements

  • Minimum of 5 years of proven experience as an Administrative Assistant or in a similar administrative role.
  • Possession of a Secondary/SPM/'O' Level certificate as a minimum educational qualification.
  • Excellent command of English, Bahasa Malaysia, and Mandarin, both written and spoken, to effectively communicate with diverse stakeholders.
  • Demonstrable proficiency in providing comprehensive administrative support, including managing correspondence, scheduling appointments, and coordinating meetings.
  • Exceptional organizational skills with a keen eye for detail and the ability to prioritize tasks effectively in a fast-paced environment.
  • Perform data entry and maintain digital and physical filing systems.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
  • Strong record-keeping abilities, ensuring accurate and efficient maintenance of physical and digital files and databases.
  • Outstanding customer service skills, with a professional and courteous demeanor when interacting with clients, vendors, and employees.
  • Proficient in data entry with a high degree of accuracy and speed, ensuring the integrity of company information.
  • Ability to maintain confidentiality and handle sensitive information with discretion and professionalism.
Responsibilities
  • Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Maintain accurate and organized records, both physical and digital, ensuring easy retrieval of information and compliance with company policies.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail, ensuring timely and professional responses.
  • Prepare and edit correspondence, reports, presentations, and other documents, ensuring accuracy and adherence to company standards.
  • Manage office supplies and equipment, ensuring adequate stock levels and proper maintenance.
  • Assist with event planning and coordination, including logistics, vendor management, and attendee communication.
  • Perform data entry and maintain databases, ensuring accuracy and completeness of information.
  • Provide excellent customer service to internal and external stakeholders, addressing inquiries and resolving issues in a timely and professional manner.
