Maintain and organize departmental records, including compliance documents, ISO files, and operational reports.
Handle all documentation work related to fuel oil sales, ensuring accuracy, completeness, and proper filing.
Update and track staff attendance, duty rosters, and schedules, ensuring accurate and timely reporting.
Assist in preparing and submitting accounting data, including invoices, expense records, and payment details.
Process and verify overtime (OT) submissions, ensuring accuracy and compliance with company policies.
Prepare and compile monthly and weekly reports for review by the Manager.
Coordinate with the Operation Engineer and other internal departments to facilitate administrative and operational requirements.
Support audit preparations by ensuring all documents and records are updated and readily available.
Assist in the procurement and inventory tracking of PPE, uniforms, and stationery to support operational needs.
Monitor and manage office supplies, ensuring sufficient stock levels and timely replenishment.
Provide administrative assistance for meetings, including scheduling, preparing minutes, and distributing documents.
Assist in implementing and updating standard operating procedures (SOPs) and workflows for administrative tasks.
Handle document filing, data entry, and correspondence to support daily administrative operations.
Support internal communication and coordination with HR, Finance, and Procurement departments.
Perform other tasks assigned by the Assistant Business Support Manager or management.
JOB REQUIREMENT
Candidate must possess at least a Diploma or Bachelor's Degree in Business Administration, Management, or a related field.
Minimum 2-3 years of experience in administrative or operational support roles, preferably in an industrial or waste management environment.
Proficiency in Microsoft Office (Excel, Word, PowerPoint) and reporting tools.
Ability to manage data, records, and documentation efficiently.
Familiarity with compliance standards and ISO documentation is an advantage.
Knowledge of ISO standards and compliance practices is an advantage.
Knowledge of administrative and compliance practices in industrial operations.
Ability to handle sensitive and confidential information.
Flexibility to adapt to changing priorities and urgent tasks.
