The primary duties and responsibilities of an Event Management Intern generally focus on three stages: pre-event planning, on-site support, and post-event follow-up.
1. Pre-Event Planning & Administration
Research & Sourcing:
Conduct research on potential venues, vendors (caterers, audiovisual, transportation), and event suppliers, gathering quotes and comparing options.
Administrative Support:
Assist in drafting event timelines, creating detailed checklists, and maintaining organized project files and databases.
Documentation:
Help prepare event materials, such as signage, name badges, registration forms, and informational packets.
Vendor Communication:
Assist in communicating with vendors and suppliers to confirm bookings, delivery schedules, and service details.
Registration Management:
Manage and track RSVPs, guest lists, and attendee data, often using online registration systems.
Logistics Coordination:
Support the planning of event logistics, including seating arrangements, room layouts, and equipment requirements.
2. On-Site Event Execution
Setup and Teardown:
Provide hands-on assistance with the physical setup and decoration of the event space, and support the efficient teardown process post-event.
Registration Desk:
Staff the registration or welcome desk, checking in guests, distributing materials, and addressing initial attendee questions.
Vendor and Staff Liaison:
Act as a communication point between the event team, venue staff, and external vendors during the event to ensure schedules are met.
Troubleshooting:
Be on-site to assist in quickly resolving any issues or last-minute changes that may arise.
General Support:
Run essential errands and handle various on-site tasks to ensure the event runs smoothly and according to plan.
3. Post-Event Follow-up
Reporting:
Assist in collecting and organizing event feedback, survey responses, and attendance data.
Inventory:
Help in taking inventory of event materials and organizing them for storage.
Financial Administration:
Collect final invoices and assist with simple budget reconciliation tasks.
Qualifications
Currently pursuing or recently completed a degree/diploma in Event Management.
Exceptional organizational skills and a meticulous attention to detail.
Strong verbal and written communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and a willingness to learn event-specific software.
Ability to remain calm, professional, and adaptable while working under pressure and on tight deadlines.
A high level of energy, initiative, and the ability to work long, irregular hours, particularly on event days.
