SKILLS & QUALIFICATIONS

  • Applicants must possess a Diploma/Degree in Business Administration or Equivalent.
  • Minimum of 2-3 years of working experience in the related field would be an advantage.
  • Adequate knowledge of office administration.
  • Proficient in Microsoft Office applications and exposure to HR systems is also advantageous.
  • Possess a strong sense of responsibility, urgency and commitment to efficiently meeting deadlines.
  • Be familiar with the ISO: 9001 2015 Quality Management Standard requirements.
  • Proficient in written and spoken English and Bahasa Malaysia.
  • Confident, self-motivated with initiative, positive working attitude, able to work independently.
  • Good leadership, interpersonal and communication skills, well organised, reliable, punctual and well presented.
  • Team Player, fast learner with a willingness to learn and meet tight deadlines with minimum supervision.
JOB DESCRIPTION
  • To carry out daily attendance reporting and monitoring. To ensure employees are clock in accordingly and assist on phone clock in problems. To assist attendance in system for leave application (eg: medical leave \xe2\x80\x93 check the supporting documents; medical certificate).
  • Assist new employee to register infotech and train them to use smartphone to clock in and out.
  • To manually key in actual overtime on daily basis and forward to HRM for cross checking.
  • To follow up with absent employees for their reasoning and supporting documents if any.
  • To assist in counselling session for lateness.
  • To report daily attendance to HRM and email Infotech daily attendance report to relevant personnel.
  • To follow up invoices and reconciliation of services against records for sanitization work, dumpster, transporter, cleaning services, fogging & abate, securities fee, water & electricity, rental, quit rent, car insurance, road tax, trading license, telephone bills etc.
  • To assist in requesting petty cash voucher for management lunch and company vehicle\xe2\x80\x99s petrol
  • To monitor and manage company groceries items monitoring and top up cleaning items, pantry items.
  • To manage locker and locker key assignment to employees.
  • To coordinate and call for services and maintenance for Coway water machine, photo copier machine, Unifi etc
  • To monitor MC & ML claim supporting documents and posted for approval.
  • To assist in applying Employee Expenses Reimbursement Claim Form attach with original receipt for record and approval by Management. To cross check the medical/dental balance in spreadsheet against Info-Tech record at month end for payroll purposes.
  • To assist in ordering Management lunch, dinner and other employees\xe2\x80\x99 overtime refreshment on daily basis.
  • To order office pantry items and refreshment such as coffee, tea, biscuit etc.
  • To arrange grab food delivery which require pay in advance and claim later.
  • To manager office stationery including ordering and issuing out and to ensure sufficient stock.
  • Handling of incoming documents or parcel and dispatch of letter.
  • Screening the incoming calls, enquiries and invite potential candidates for interview and collecting employees updated personal record.
  • Attend to employees e-bike, safety shoes, walkie-talkie, t-shirts or any request for repair work.
  • Update and follow up covid self-test results for record.
  • To assist in preparing letter in Bahasa Malaysia, filing letter and approval letter for audit trail purposes.
  • To assist in preparing social activities and office decoration during festive season.
  • To coordinate with security personnel on visitor and employee gate pass issuance.
  • To arrange booking for accommodation, prepare refreshment, transportation or cab services for guest and directors.
  • To assist in safety committee meeting for taking minutes.
  • To assist foreign worker arrangement for FOMEMA medical check-up.
  • To assist HR and Finance on special assignment from time to time
  • Any other ad-hoc assignment.
